Summary

Job Title: Executive Assistant

Location: Austin, TX

Contract position 3+ months

Pay: Starting at $70,000 annually


Job Description:

The Executive Assistant will be responsible for providing comprehensive administrative and project coordination support to multiple executives. This includes organizing schedules, managing logistics, preparing materials, and keeping key initiatives on track. The ideal candidate will be a proactive problem-solver with a sharp eye for detail and strong professional discretion.


Key Responsibilities:

  • Coordinate calendars, plan meetings, and manage travel arrangements for multiple senior leaders
  • Work cross-functionally with internal teams to support organizational priorities and high-level projects
  • Prepare agendas, take notes, and track follow-ups for internal meetings and strategic sessions
  • Support planning and logistics for team events, offsites, and key external engagements
  • Handle confidential information and communications with professionalism
  • Assist with document creation, presentation decks, and expense reporting
  • Monitor timelines for critical initiatives and follow up on action items to ensure progress
  • Provide occasional on-site and off-site event support


Qualifications:

  • 5+ years of experience supporting executives in a fast-paced, high-growth environment
  • Strong relationship-building and interpersonal communication skills
  • Ability to adapt in a collaborative setting with shifting priorities
  • Proficient with Microsoft Office Suite and Google Workspace (Docs, Slides, Gmail, etc.)
  • Highly organized and detail-focused, with excellent time management abilities
  • Experience creating presentations and preparing high-level communication materials
  • Comfortable working in an in-office role (M–F) with flexibility for occasional after-hours needs
  • Bachelor's degree preferred or equivalent professional experience
  • Ability to handle sensitive information with discretion and maturity
