Summary

Our client, a prestigious life science company, is seeking a highly organized and proactive Executive Assistant to provide dedicated support to the Chief Executive Officer (CEO) and Chief Business Officer (CBO), while also overseeing general office management responsibilities. As a key support to two senior leaders, you’ll help ensure they stay organized and focused on high-priority initiatives. You will also take ownership of office operations, ensuring a smooth and efficient work environment for the broader team. The ideal candidate is a self-starter who can manage shifting priorities and execute with professionalism and discretion.


**Please note this is a 4-month, onsite, contract role with an immediate start in South San Francisco. Pay will be $48-50/hr.**


Key Qualifications:


  • Provide high-level administrative support to the CEO and CBO, including proactive calendar management, meeting scheduling, and coordination across time zones
  • Manage domestic and international travel logistics, including itineraries and last-minute changes
  • Prepare and process expense reports and other executive documentation
  • Act as a liaison between the executives and internal teams, board members, and external partners
  • Draft and proofread communications, presentations, and meeting materials
  • Coordinate team events, on-site meetings, and occasional offsites
  • Oversee general office operations—manage supplies, vendors, and facilities needs
  • Maintain confidentiality and exercise discretion in handling sensitive information
  • Support ad hoc projects and strategic initiatives as needed


Qualifications:


  • 5+ years of experience supporting C-level executives, ideally in life sciences, biotech, or a related industry
  • Strong organizational skills with the ability to manage multiple priorities with efficiency and poise
  • Excellent communication and interpersonal skills
  • Proven ability to maintain discretion and handle confidential information
  • Proficiency with Microsoft Office Suite, Zoom, and general office tools
  • Comfortable in a small, fast-paced, and collaborative team environment
