Position Description:

This position will provide overall administrative support for the Chief Executive Officer and other members of the senior executive team. The Executive Assistant will support all internal and external communications to and from the office of the CEO, schedule meetings, interface with all members of the Board of Directors, support major donor relationships, ensure day-to-day organization of the CEO’s schedule and emails, lead projects as needed, and have oversight over various administrative aspects related to the office of the CEO.

The Executive Assistant will have access to confidential agency information and will directly interface with a multitude of agency stakeholders on behalf of the CEO, including clients, patients, staff, donors, board members, institutional partners, funders, etc. The strongest candidate must have a strong and successful experience with customer service.

Essential Functions

Executive Office

  • Assist CEO with administrative functions, including, but not limited to: responding to external communications, preparing check requests and expenses reports, preparing contractor agreements, coordinating travel, filing, and organizing
  • Organize and schedule CEO’s appointments, meetings, and conference calls (including setting up call-lines, drafting agendas, handouts, and taking minutes)
  • Facilitate communication with the Board of Directors and Board committees. Set-up and record minutes at Board meetings, maintain Board files, update contact databases. Maintain calendar of meetings, appointments and important deadlines for the board.
  • Provide administrative support to other senior executive team members as needed
  • Provide other assistance as needed

Development Department

  • Support administrative and fund development functions, including, but not limited to: managing correspondence, preparing check requests, filing, and scheduling of meetings
  • Prepare timely gift acknowledgements, post gifts in the donor database, and maintain development information systems
  • Construct and maintain tracking method to fit the needs of specific events, help produce event reports, including attendance and financial; maintain and update individual donor records
  • Assist in the production of the agency’s annual gala event, including, but not limited to: managing solicitations, tracking responses, and assisting in the coordination of the silent auction
  • Other duties assigned

Minimum Qualifications

  • Associate degree or equivalent
  • Excellent writing skills and effective oral communication, ability to compose and draft memos and correspondence independently.
  • Demonstrated interpersonal, organizational, verbal and written communication skills
  • Successful customer service track record
  • Ability to exercise discretion in the handling of confidential information
  • Able to multi-task, work as a team player, and be self-directed
  • Strong attention to detail
  • Data entry experience
  • Strong background in computer skills Microsoft Office, ability to type at least 45 WPM and perform accurate and fast data entry,
  • Sensitivity to individuals living with HIV; lesbian, gay, bisexual, transgender, and queer populations; and culturally diverse populations
  • Must obtain TB clearance (within past 12 months) and complete background check upon hire.
  • Current with vaccinations including latest Covid-19 vaccine and seasonal flu, and able to provide proof.
