Summary

Key Responsibilities

Executive Support

  • Manage the CEO’s calendar, meetings, and travel logistics with a high level of discretion and efficiency.
  • Draft, edit, and manage internal and external correspondence, reports, and presentation materials.
  • Support the CEO on ad hoc projects, research, and confidential initiatives.
  • Serve as a point of coordination between the CEO and internal/external stakeholders.

Office Operations & Administration

  • Oversee the day-to-day office environment, ensuring it remains well-equipped, organized, and efficient.
  • Manage vendor relationships, office supply inventory, and equipment servicing.
  • Handle mail distribution, shipping logistics, and document filing (digital and physical).
  • Serve as an office resource and point of contact for general administrative needs.

Business & Brand Support

  • Generate and manage order folders and purchase orders (POs), including vendor communication and tracking.
  • Process specialty orders and manage incoming calls and order-related inquiries.
  • Assist with export license applications and daily inventory tracking.
  • Complete receiving tasks, invoice handling, and file management to support the hose and gasket division.

Leadership Conference Coordination

  • Partner with the VP of Marketing to plan and execute the annual Leadership Conference.
  • Support all event logistics including venue research, vendor negotiations, and attendee communications.
  • Manage travel arrangements, conference materials, registration, and on-site support.
  • Track event budgets, process expenses, and lead post-event follow-up and reporting.

Qualifications & Skills

  • 3–5 years of experience in executive support, office administration, or operations coordination.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Excellent written and verbal communication abilities.
  • Self-starter with strong problem-solving skills and the ability to manage priorities independently.
  • Adaptable, collaborative, and capable of supporting cross-functional teams and large-scale initiatives.
