Executive Assistant and Office Manager

A fantastic global organization is seeking a highly organized and professional Executive Assistant and Office Manager for their Boston-based office. This position requires an individual who can manage administrative duties, support senior leadership, and ensure smooth office operations. The ideal candidate will be proactive, detail-oriented, and comfortable working in a fast-paced, high-visibility environment. Please note: this position is 100% onsite in Boston.


Key Responsibilities

  • Serve as the first point of contact at the office, providing a welcoming and professional presence for employees, visitors, and executives
  • Maintain a high level of professionalism, confidentiality, and customer service in all interactions
  • Prepare and format high-quality presentations, reports, and communications using Microsoft Word, Excel, and PowerPoint
  • Manage executive calendars, ensuring the prioritization of critical meetings and deliverables
  • Coordinate and book domestic and international travel arrangements
  • Take meeting notes as needed, especially in confidential or executive-level discussions
  • Maintain office supply levels and oversee the cleanliness and organization of common areas including pantries, conference rooms, and print stations
  • Manage front-desk operations and serve as the primary point of contact for building access and visitor management
  • Monitor and manage the office security system, including employee and visitor badge access and security camera footage
  • Support new employee onboarding by setting up workspaces and distributing access badges and procedural information

Minimum Qualifications

  • Bachelor’s degree or equivalent combination of relevant work experience
  • At least 2 years of experience in an administrative or executive support role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Demonstrated ability to multitask, manage competing priorities, and meet deadlines

Preferred Qualifications

  • 5+ years of experience in executive or administrative support
  • Exceptional attention to detail and strong written communication skills
  • High degree of discretion when handling confidential information
  • Strong interpersonal skills and a proactive, solutions-oriented mindset
  • Ability to adapt to changing needs and take initiative (“no task too big or small” attitude)
  • Typing speed of 70+ words per minute
