Summary

Job Title: Executive Assistant - Managing Director office

Location: Delhi

Job Responsibilities

  • Coordinate and manage complex schedules, appointments, and meetings for the MD. Ensure that all engagements are well-planned and executed with precision.
  • Act as a point of contact between the MD and internal/external stakeholders. Manage emails, phone calls, and correspondence, prioritizing urgent matters and filtering information as necessary.
  • Arrange travel itineraries, accommodations, and logistics for business trips, personal trips, conferences, and events.
  • Prepare agendas, take minutes, and compile necessary materials for meetings. Coordinate meeting logistics, including room reservations, audio-visual equipment setup, and catering.
  • Create, edit, and format documents, presentations, and reports. Ensure accuracy, consistency, and professionalism in all communications.
  • Track, reconcile, and report on executive expenses. Process and submit expense reports in a timely manner, adhering to company policies.
  • Handle sensitive and confidential information with the utmost discretion. Maintain a high level of professionalism and integrity in all interactions.
  • Assist in the planning, execution, and monitoring of various projects, investments, new ventures and initiatives. Collaborate with team members to ensure project milestones are met.
  • Support office operations by ordering supplies, managing office equipment, and coordinating maintenance requests.
  • Build and maintain positive relationships with internal team members, external partners, clients, and stakeholders.

Requirements

  • Bachelor’s/Master’s degree
  • Proven experience as an Executive Assistant
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Discretion and confidentiality in handling sensitive

information.
