Meet The Team
Join our site leadership team as an Executive Assistant, where you'll coordinate a wide variety of administrative and operational functions. You'll manage schedules, travel, projects, meeting agendas, and act as a liaison to internal and external entities. This role requires a highly organized and self-motivated individual who is flexible and can thrive under pressure.
Where You Come In
Youcoordinate leadership schedules, meetings, agendas, and meeting materials, along with reserving meeting facilities.
Youcomplete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and adjusting plans.
Youimprove the corporation’s reputation by taking ownership of new and diverse requests and exploring opportunities to contribute to job accomplishments.
Yougreet visitors, guide them, manage correspondence, plan events, address inquiries, and handle executive communications.
Youdevelop travel itineraries, book transportation, arrange lodging, and manage expenses following company policies.
Youcollaborate with other sites to exchange information and best practices in support of site day-to-day operations.
Youhandle sensitive information and maintain confidentiality of all personal and corporate matters.
Youwork with all levels of employees and coordinate events and projects effectively.
Youassist with onboarding new hires that report directly to the directors.
Youorder and deliver catering for breakfast and lunch meetings.
Youcoordinate offsite team meetings and team-building events.
Youbuild e-newsletters, town hall slides, and other meeting materials as requested.
Youorder and maintain supplies and arrange for equipment maintenance.
What Makes You Successful
Youhave in-depth knowledge of company operations.
Yourwritten, verbal, analytical, and interpersonal skills are excellent, and you can effectively and professionally work with all levels of employees.
Youare able to work independently.
Youare available to travel to tradeshows for onsite coordination.
Yourtechnical and computer expertise (Microsoft Office including Excel and PowerPoint) is strong, and you possess advanced computer skills with the ability to train others on system usage.
Youare familiar with travel and expense management through Concur.
Yourorganizational and planning skills, communication skills, respect for confidentiality, attention to detail and accuracy, judgment and independent decision-making ability, problem analysis and problem-solving skills, adaptability, initiative, information gathering, and monitoring skills are exceptional.
Youare self-disciplined, self-motivated, extremely flexible, meticulous, accurate, detailed, and dependable.
Youmay occasionally be accessible at various times outside of a typical workday and possibly weekends to make changes to travel and schedules.

Experience And Education
Typically requires a Bachelor’s degree and a minimum of 2-5 years of related experience.
