Role Description

Primary Responsibilities:

• Manage and organize email communications, including inbox cleanup and outbound email campaigns
• Handle calendar management and scheduling for team members
• Coordinate meetings and appointments across different time zones
• Provide administrative support for various team members as needed
• Manage office perks and supplies, including snacks, beverages, and inventory to keep the office well-stocked and running smoothly.
• Coordinate team events and celebrations, such as weekly lunches, birthdays, happy hours, and offsites, helping foster a fun and connected in-office culture.
• Process basic bookkeeping tasks and maintain financial records
• Create and send invoices to clients in a timely manner
• Monitor and triage Slack messages, ensuring important communications are properly addressed
• Conduct sales follow-ups and maintain customer relationship records

Required Qualifications:

• 2+ years of experience in administrative support or virtual assistance
• Excellent organizational and time management skills
• Strong written and verbal communication abilities
• Proficiency with common business tools (G Suite, Slack, Zoom, etc.)
• Experience with basic bookkeeping and invoicing software
• Self-motivated and cheerful with ability to work independently
• Detail-oriented with strong problem-solving skills

Preferred Qualifications:

• Experience working with startups
• Familiarity with project management tools
• Background in customer service or sales support

Hours and Availability:

• Full-time position (40 hours/week)
• Flexible schedule with core hours aligned with Pacific Time Zone
• Must be available for occasional urgent requests
