We are seeking an exceptional and dynamic individual to join our team as an Executive Assistant and Internal Communications Coordinator. This dual-role position is at the heart of our Canadian organization and operations, supporting two key leaders in Canada: the Country Head and the Head of Marketing. Key Responsibilities

Executive Support:

  • Provide high-level administrative support to the Canada Country Head, including calendar management, travel arrangements, expense reporting, and meeting coordination.
  • Act as a reliable point of contact for internal and external stakeholders on behalf of the Country Head, ensuring seamless communication and prioritization of tasks.
  • Prepare presentations, reports, and meeting materials to support strategic objectives. Support local Canadian offices with ordering supplies, and additional administrative related tasks as needed.

Internal Communications Coordination

  • Collaborate closely with the Head of Marketing to manage internal communications and develop initiatives that drive associate engagement, including planning and executing team events and activities, lead the planning and execution of hybrid national town halls quarterly, lead the development, distribution of associate newsletter and communications for the country. .
  • Support marketing operations by coordinating integrated campaigns, conferences, account support, and other projects /initiatives as required, reporting on the impact/ ROI of investments, and ensuring all deliverables are executed on time and within budget.
  • Assist in the development and deployment of marketing materials, maintaining brand consistency and high standards.
  • Ability to work in a matrixed organization, working across many business units, marketing teams, sales teams.

Technology And Tools

  • Utilize a range of martech tools, including Salesforce, Adobe Workfront, Pardot, CVENT, 6sense, Staff Base, and many other platforms, to support marketing functions and operations.
  • Work efficiently within the Microsoft 365 suite (Office, PowerPoint, Excel, SharePoint, Teams, Copilot) to create compelling documents, presentations, and spreadsheets.

Qualifications And Skills

  • Minimum of 5+ years of experience in a marketing support role with administrative responsibilities.
  • Exceptional verbal and written communication skills in English; proficiency in French is considered an asset.
  • Impeccable attention to detail, with strong organizational and multitasking abilities.
  • Ability to work independently with minimal supervision and take initiative to lead programs and drive results.
  • Proficiency in martech tools and platforms, with a demonstrated ability to quickly adapt to new technologies.
  • Expertise in the Microsoft 365 stack, including advanced knowledge of tools such as Teams, Excel, and PowerPoint.
  • A positive, proactive attitude with a dedication to continuous improvement and team collaboration.

Certifications Required
