Role Description

We are seeking a highly organized and proactive Executive Administrative Assistant to support executive leadership while also performing key Human Resources (HR) functions. This dual-role position requires excellent administrative skills, sound judgment, and the ability to manage confidential tasks—especially within HR and recruiting operations. The ideal candidate is detail-oriented, resourceful, and comfortable working in a fast-paced, dynamic environment.


Key Responsibilities:


Executive Support

  • Manage complex calendars, schedule meetings, and coordinate travel and logistics.
  • Prepare executive correspondence, reports, agendas, and presentations.
  • Act as liaison between executives and internal/external stakeholders.
  • Support meeting preparation and follow-up, including notes and action tracking.
  • Maintain filing systems and ensure accurate documentation.


Human Resources & Recruiting Support

  • Assist with end-to-end recruiting activities including:
  • Posting job openings on internal/external platforms.
  • Screening incoming resumes and identifying qualified candidates.
  • Coordinating and scheduling screening calls with hiring teams.
  • Tracking candidate status and providing timely updates to the executive team.
  • Communicating with candidates throughout the hiring process.
  • Gathering key documents and information from candidates (e.g., references, work eligibility, NDAs).
  • Coordinate onboarding and offboarding processes.
  • Maintain accurate employee records and manage confidential information.
  • Support benefits administration, policy updates, and employee communications.
  • Help organize HR programs such as performance reviews, training sessions, and compliance initiatives.


Qualifications:

  • Bachelor’s degree in Business Administration, Human Resources, or a related field preferred.
  • 3+ years of experience supporting senior executives; experience with HR or recruiting functions required.
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to handle confidential information with integrity and professionalism.
  • Proficiency in Microsoft Office Suite and collaboration tools (e.g., Outlook, Teams, Zoom).


Preferred Attributes:

  • SHRM-CP, PHR, or similar HR certification is a plus.
  • Experience supporting recruiting in a fast-paced or startup environment.
  • Demonstrated ability to multitask and prioritize effectively.
