Job Description: In this role, you will be supporting the newest of the six Department of Defense Regional Centers, managing the ACT1 event planning staff and overseeing continuity of operations and programs. You will work closely with the TSC senior event planner and other TSC staff, taking strategic direction from the Associate Director and Deputy Associate Director for Strategic Engagement.
Responsibilities:
* Oversee the continuity of Ted Stevens Center programs and manage the staff of the Events Program Planning Office.
* Work with internal/external resources to secure needed materials and services.
* Develop and ensure short- and long- term milestones are tracked and achieved and all functional support requirements are integrated and met.
* Act as the overall project or event functional services integrator.
* Conduct research and recommend vendors, based on analysis and rationale of at least three sources, to support programs.
* Evaluate current planning procedures, recommend improvements and implement modifications.
* Responsible for managing Events Program Planning to include: creating assignment schedule for event program planners and updates as required; creating training materials for new event program planners and implementing standardized training programs specific to Ted Stevens Center operating system; and managing and standardizing execution of workshop components which are universal to Ted Stevens Center workshops.
* Develop and update standard operating procedures (SOP) for domestic and international events and conduct in-progress reviews (IPR) and after-action reviews with event planners. Assist with travel requirements; acquiring airline tickets, filing pre and post travel vouchers, compiling security information and manage cable transmissions, when necessary.
* Travel in support of international programs and train staff to properly perform pre/onsite/post international event requirements.
* Conduct programs as assigned.
* Provide summary of activities and financial commitments to USG through the service contract's management on a weekly basis or as requested.
* Bachelor's Degree.
* Minimum of five (5) years' experience planning domestic and international defense events.
* Proficient in use of Microsoft Office Suite, especially Outlook, Word and Excel.
* Experience with calendar creation, coordination, and maintenance.
* SECRET clearance required.
Preferred
* Experience in planning and conducting outreach/engagement activities, and experience integrating functional support activities into events.
* Ability to contribute as a team player; strong interpersonal skills to negotiate various issues.
* Strong ability to work with minimal supervision.
