As we continue to expand our presence, we are seeking an enthusiastic and service oriented Events Manager to join our MassBioHub team.
The Events Manager, MassBioHub will be a key member of the team contributing to business operations and conference center performance. With a focus on enhancing value and relevancy for members through best in class content and premier networking opportunities, our ideal candidate will be a motivated and hands-on collaborator, with 2 or more years of event management experience in a hospitality setting.
Key Responsibilities Include:
- Oversee the planning of all details for member meetings and events that take place in the Hub; and assist the Operations Manager in greeting the onsite hosts as they arrive. Act as the main point of contact throughout all planning meetings and site visits for each Hub meeting and event
- Work closely with our preferred vendors on additional needs including; the audio visual production company on photography, webinars, video & audio production, etc; the caterer and bartending service on chosen Food & Beverage selections; the event rental company for items such as specialized tables, linens, and additional décor as needed (including scheduling delivery, setup, and breakdown timelines)
- Work with vendors to create customized menus to accommodate unique event visions and allergies/dietary needs; schedule appropriate deliveries that align with each events agenda
- Lead the in-depth planning process with members to ensure that their vision for often high-level, industry-leading meetings and events are both met and exceeded. Often working with C-Suite and D-Suite leaders on groundbreaking content and topics
- Create customized floor plans based on each member's unique event vision and needs; work directly with the Operations Manager to ensure our day porter staff is scheduled accordingly to ensure that all room setups are done accurately and on time. Assist Hub team with last-minute room setups or changes as needed
- Partner with the Operations Manager to test, setup, and occasionally troubleshoot general technical requirements for each event; ensure audio visual technicians are scheduled for events as needed
- Work cross functionally on high-level internal and external event needs and provide extra planning support as needed
- Serve as the primary back-up to the Operations Manager, for all day-to-day event operations and serve as a source of expertise and guidance to a range of members with various levels of meeting and event knowledge
- Take part in weekly team meetings to inform team about the upcoming needs for the Hub

- Maintain a high level of customer service and hospitality in all interactions with fellow colleagues, members, and visitors alike; during site visits, planning meetings, conference calls, etc
- Be proactive and take on tasks without having to be instructed; consistently deliver exceptional hospitality experiences to MassBio’s members. Strive to exceed member expectations in the fast-paced, ever-changing industry that our members are a part of
- Positive, high energy with extreme attention to detail for all aspects of event and operational needs
- Ability to multitask and adapt quickly in high-distraction environments
Qualifications:
- Bachelor’s Degree preferred; relevant work experience can substitute for a college degree
- A minimum of 2 years of Event Management experience required, preferably in a hospitality setting
- Exceptionally service oriented with professional verbal and written communication skills
- Ability to manage multiple projects and work assignments from a variety of staff and member representatives
- Proficiency using the latest versions of Microsoft Word, Excel, PowerPoint, Access,and mail merges; email and web searches
- Demonstrated ability to work across cross functionally to achieve strategic goals
- High level of detail orientation with excellent organizational, time management and proofreading skills
- Proven ability to work independently, manage multiple priorities, shift priorities when necessary, and meet deadlines
- Ability to have a flexible schedule, differing week to week, to include early mornings and late nights as needed and based on member/team needs
Physical Requirements:
- Ability to work on a laptop or computer monitor for extended periods of time
- While performing the duties of this job, the employee is frequently required to sit; stand; walk; use hands; talk and hear
- Ability to lift up to 25 lbs
