Summary

Crawford Group (www.crawfordgroup.com) is seeking an Event Specialist to support our technology client in the San Francisco Bay Area. This is a global role that involves providing project management and logistic support for internal events at the client's offices in San Francisco and San Jose, with occasional travel to other locations. The Specialist will need to be onsite 2-3 days a week for meetings, stakeholder relationship building, and events, helping the team design and deliver impactful event experiences.

Responsibilities:

  • Actively coordinate, manage employee facing events, and liaise between internal partners and external vendors. This includes attending all necessary meetings to stay aligned with all key stakeholders and partners
  • Partner with Event Strategists on introducing fresh and creative concepts for employee facing events and company campaigns in an effort to enhance the workplace experience
  • Collaborate with international teams to drive partnerships, understand regional cultures, and plan, design, and execute on program vision established by Event Strategists
  • Manage, meticulously track, and deliver reporting on event budgets, program logistics, vendors, and other key event metrics through the entire event life-cycle on behalf of Event Strategists and other internal clients
  • Drive event production schedules and production meetings with internal business units along with cross organizational teams including but not limited to facilities, catering, conferencing services, security
  • Provide production related support for the Event Strategists such as, but not limited to:
  • Researching offsite venues, local vendors, and other miscellaneous event support
  • Research, vet, negotiate, and procure event related vendors and support when necessary
  • Responsible for reviewing vendor contracts before asking the client for signatures or payment
  • Provide general support for the Event Strategists on non-event initiatives such as, but not limited to:
  • Coordinating flagship events across client’s offices; which can include researching, purchasing, and managing the distribution of event materials
  • Tracking programs across sites for reporting purposes
  • Set up and management of registration tools and event app for programs as needed
  • Build strong relationships in the Japan and Asia Pacific regions for client and with external partners


What we look for:

  • 5+ years event coordination/production experience with at least 2 years of in person event experience
  • Experience working on a variety of corporate events with different target audiences and stakeholders is a must. Working on internal employee/HR events is a plus
  • Experience partnering and building relationships with international teams, specifically Japan and Asia Pacific region is a plus
  • Strong customer service orientation supporting the internal customer experience, exceptional interpersonal and communications skills, professional demeanor
  • High attention to detail, deadline driven, ability to problem-solve on the fly, resourceful and proactive
  • Thrives in a collaborative team dynamic, but can also be an independent self-starter
  • Ability to work effectively with people at all levels of the company as well as third party vendors
  • Demonstrate ability to work in a fast-paced work environment, prioritize and manage multiple tasks simultaneously, address last-minute requests/changes while showing grace under pressure
  • Highly adaptable and comfortable with pivoting program objectives, maintaining flexibility and composure under pressure while effectively adjusting to shifting priorities
  • Proficiency with Microsoft Office Suite required. Ideally preferred experience: SharePoint, Slack and an event registration platform. Knowledgeable and comfort with Microsoft Teams
  • Ability to go into the San Jose or San Francisco offices 2-3 days/week
  • Willingness to travel to regional offices if necessary - 1-2x/quarter
  • Bachelors’ degree preferred

Duration: Consulting

Rate: $45 - $55/hour W-2 consultant of Crawford Group; benefits available if eligible (Our hourly ranges are determined based on skills, experience and location)
