Event Planner/Executive Assistant Based in Jackson Hole, Wyoming
Environmental Health Trust is looking for an energetic, highly motivated, and community-oriented individual to take on the role of event planner and executive assistant. The right person for this job is intellectually curious and interested in how science can guide policy to make cell phones and towers safer for public health, wildlife, and the environment. The winning candidate wants to educate the Jackson Hole community using fun and creative means to engage residents as well as the tourist community passing through one of the nation’s most beautiful regions. These programs serve as models for a national rollout and your success on the ground is EHT’s success across the country
In this role, you will engage multiple organizations and like-minded groups who encourage healthier lifestyles and support freedom from wireless networks, either in our schools, homes, or parks. We want someone who understands that children do not succeed when they are on devices that contribute not only to behavioral disorders but also bombard the body with electromagnetic pulses that alter human health and the health of the environment around them.
Daily duties include setting up programming, advertising, educational outreach opportunities, and the careful use of the digital space to teach people how to reduce their addiction to the digital space (we recognize the irony) and get off their phones.
This hybrid position will require some clerical duties that are critical to operations, including running statistical reports, fielding information requests, and handling donor communications. The ideal candidate knows how to “manage up” to help the seasoned and extremely busy executive team succeed in their many obligations.
Duties and Responsibilities
- Plan, organize, and implement events in Jackson Hole and work with potential partners to deliver creative programming that entertains and educates.
- Develop flyers, videos, posters, billboards, and other types of media to promote local events and contests. You will work with the communications writer, video production manager, graphics designer and social media assistant to ensure brand consistency and messaging.
- Work with local media to place advertisements and news and promote local events.
- Prepare reports, presentations, and data, including graphs and charts, detailing the success and lessons from events that you shepherded and made happen.
- Field phone and email queries and ensure that the team isn’t dropping the ball on important requests and communications.
- Update databases on EHT activities, including presentations, letters, public comments, briefings, legal filings, testimonies, webinars, podcasts, media interviews, scientific publications, and community outreach. Basically, track everything and record where EHT's leaders are making a difference.
- Work with the vice president of operations to arrange travel, accommodations, itineraries, and meals for board members flying into Jackson Hole for their annual meeting.
- Go to our PO box in Teton Village and grab the mail. Deposit checks in the bank, record donations in our donor database, and respond to correspondences.
Requirements and Qualifications
- Associate or bachelor’s degree in event planning, marketing, or communications.
- 3+ years as an event planner, scheduler, executive or social media assistant.
- Proficient with Microsoft Office Suite (SharePoint, Word, PowerPoint, Excel, One Drive)
- Experience scheduling appointments and sharing and updating team calendars.
- Excellent communication and organizational skills.
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills.
- Strong written and verbal communication skills.
- Strong time management skills - ability to respond quickly to queries and meet unexpected deadlines.
- Knowledge of database management systems.
- Experience in managing multiple priorities, administrative coordination, and logistics
- Valid driver’s license and safe driving record
