Under general supervision this position will provide support for the University Events department by ensuring quality event services, efficient equipment set-up, and properly maintaining equipment inventory.
POSITION SPECIFIC RESPONSIBILITIES:
* Responsible for all aspects related to supervision of Event Operations student staff, including training, evaluating, hiring, firing, payroll, discipline and employee recognition programs to ensure the successful completion of equipment set up requests for all events and conferences.
* Oversee the daily operation of the office by enforcing office policy and procedures.
* Set-up standards for equipment delivery and returns. Ensure all equipment is functioning and up to standard for use.
* Manage the maintenance, condition, facilitation, scheduling, and staffing of all event spaces available for booking.
* Responsible for equipment inventory, which includes audio/visual equipment, tables, chairs, podiums, stages, and electric carts. Maintain the system for upkeep and maintenance. Recommend additions and replacement plans.
* Support the Event Managers as on-site troubleshooter for major university events.
* Administer the operational aspects of the Summer Conference Residential program, including working with off-campus vendors for linen and amenities, maintaining linen inventory, and supervise residential room set-ups.
* Train and enforce the safety codes and guidelines for the electric cart operations for all department personnel (full-time staff and students).
* Develop and sustain a training program for event operations student staff and managers.
* Maintain good working relationships with external vendors.
* Perform other duties as assigned or requested.

EXPERIENCE/QUALIFICATIONS:
* Minimum 2 years supervisory experience required, preferably in a customer service setting.
* Minimum 2 years experience working in event/conference technology management highly desirable.
* Demonstrated working knowledge of the principles of organization and supervision.
* Knowledge of various aspects of event/conference management, including the understanding of a university environment, both organizationally and politically.
* Ability to work as part of a team and communicate well with a diverse population of faculty, staff, students, all levels of administrators, and others using tact and diplomacy at all times.
* Ability to simultaneously work on multiple tasks with varying deadlines.
* Demonstrate ability to solve problems and flexibility in handling last minute changes.
* Effectively coordinate the use of campus facilities and equipment.
* Ability to work a flexible schedule (nights, weekends, and holidays).
* Crisis management skills required.
* Exemplary communication skills (both written and oral) evidenced by background in preparing comprehensive reports and executive summaries incorporating complex, highly technical information.
* Highly developed organizational and leadership skills. Effective interpersonal skills to ensure good working relationships.
* Demonstrated computer competency and preferably knowledgeable of the Microsoft Office package, Word, Excel, Outlook and Power Point. The ability to learn new software systems.
REQUIRED EDUCATION:
* Typically an Associate's degree or equivalent experience.
* Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.
