About Our Client:

Addison Group is hiring for our client, a well-respected membership-based organization. They are seeking an Education Programs Coordinator to support speaker coordination and logistics for both virtual and in-person events. This role is key in ensuring seamless execution of events, including a large-scale annual conference.

Job Description:

The Education Programs Coordinator will provide administrative and logistical support to the events team, primarily managing speaker coordination, contract processing, and event-related communication. This role requires a proactive, detail-oriented individual with strong organizational skills.

Key Responsibilities:

  • Coordinate content and logistics for various events, including an annual conference.
  • Manage speaker contracts through Cvent, ensuring all required documentation is collected.
  • Communicate with speakers to gather bios, abstracts, AV needs, travel arrangements, and other materials.
  • Work with event planners on hotel accommodations and speaker registrations.
  • Maintain and update speaker information in internal databases and event platforms.
  • Assist in reviewing content for marketing materials and ensure accurate speaker details.
  • Distribute and collect post-event evaluations and compile reports for analysis.
  • Track and process speaker expenses, travel, and reimbursements in accordance with contracts.
  • Schedule and coordinate planning meetings with speakers and internal teams.
  • Upload and manage speaker content for event apps and digital platforms.

Qualifications:

  • Experience: 2+ years of administrative or clerical support, preferably within a membership-based organization.
  • Technical Skills: Proficiency in Microsoft Office Suite (Excel & Word) and Cvent (required). Experience with Salesforce or similar CRM is a plus.
  • Soft Skills: Strong attention to detail, proactive mindset, and professional demeanor. Must be comfortable engaging with senior leadership and C-suite executives.
  • Education: Bachelor’s degree preferred but not required.
