Summary

IEP (ESE) Assistant

Major Function

This employee works directly with teachers, administrators, students, and parents in order to assist with the IEP process and complete any other duties as assigned by the ESE Specialist. Additionally, they will perform a variety of complex secretarial and clerical tasks for the campus administration team requiring independent judgement and action, including decision making in accordance with organizational policies and procedures, which may include delegated administrative duties.

Duties And Responsibilities

  • Filing and documenting of all ESE documents in ESE Folder (cumulative folder)
  • Compile documents for the IEP process.
  • Schedule orientation meetings for the ESE Specialist.
  • Schedule IEP meetings and testing for ESE specialist & Administration.
  • Assist with the maintenance of program documentation as required.
  • Distribute IEP copies and ESE documents.
  • Assist with mail and phone correspondence related to the IEP process.
  • Prepare Monitoring Logs and make sure they are being maintained.
  • Support Administrative team with secretarial and clerical duties.
  • Maintain and manage current school calendars of events and use of facilities.
  • Generate and disseminate schoolwide communication to all stakeholders.
  • Participate in the preparation of back-to-school planning for all stakeholders.
  • School-level ordering and manage inventory.
  • Plan, coordinate, and execute schoolwide events.
  • Create forms and compile data and information necessary for efficient operation of the school.
  • Maintain efficient and well-organized paper and electronic data collection and filing systems.
  • Protect confidentiality of information for students and staff.
  • Perform any duties and responsibilities that are within the scope of employment as assigned by the administrative team.

Requirements

  • A minimum of 3 years of increasingly responsible experience in secretarial and clerical duties.
  • Demonstrate excellent secretarial skills, bookkeeping skills, data management, information retrieval, visual presentations and communications.
  • Excellent organizational skills and attention to detail.
  • Highly effective written and verbal communication skills.
  • Ability to maintain effective working relationships with all personnel.
  • Ability to work independently.
  • Associate or bachelor’s degree in related field preferred.
