Summary

Role Overview

CyberNet is seeking an experienced ERP Systems & Operations Administrator to ensure our enterprise resource planning (ERP) system (Odoo) fully supports the business and its users. This role will focus on maximizing end-user adoption and continuous improvement of the ERP platform (enhanced emphasis on user adoption and change management). It is a role combining technical system administration with cross-functional coordination and process governance to drive operational efficiency.


Key Responsibilities


- ERP System Administration: Administer, configure, and maintain the Odoo ERP system to meet business needs. Manage user accounts, roles, permissions, and ensure system security and uptime.

- Cross-Functional Collaboration: Work closely with departments (Operations, Finance, IT, Sales, etc.) to align ERP functionality with business processes and identify improvement opportunities. Translate business requirements into ERP configurations or workflows and ensure ERP and financial processes remain in alignment.

- User Training & Support: Provide ongoing support to end-users and conduct training sessions to promote effective use of the system. Develop user-friendly documentation and guides to shorten the learning curve and encourage best practices. Act as a go-to resource for ERP questions, troubleshooting issues promptly to minimize disruption.

- Change Management Initiatives: Lead ERP-related change management efforts. Develop and implement communication plans to drive organization-wide awareness of ERP updates or new features. Gather user feedback, address concerns, and continuously refine processes to increase adoption and reduce resistance to new system changes. Maintain regular stakeholder updates about upcoming changes and improvements.

- Process Governance & Documentation: Establish and follow governance processes for ERP changes. Coordinate an internal review/approval for configuration changes or new module implementations to ensure they meet compliance and business standards. Document system configurations, process workflows, and standard operating procedures to create an audit trail and training reference.

- Data Management & Reporting: Ensure data integrity within the ERP through routine data audits and maintenance. Manage data import/exports and integrations with other software, ensuring accuracy and consistency of information. Develop custom reports and dashboards to provide actionable insights for teams (e.g. inventory, financial, KPI reports), and support ad-hoc data analysis requests.

- Technical Coordination: Collaborate with IT staff and external vendors/developers on technical matters. Coordinate ERP software upgrades, patches, and integrations with other systems, following change control processes. Work with developers or Odoo partners to troubleshoot complex issues and implement new features or customizations as needed, including testing and quality assurance before deployment.

- Continuous Improvement Projects: Drive and participate in ERP enhancement projects. Use project management skills to plan and execute new module rollouts or process improvements from conception to go-live. Partner with stakeholders to map current workflows and identify opportunities for automation or efficiency gains through the ERP system, ensuring any process changes are effectively adopted by users.


Qualifications & Skills


Required:


- Experience: 3+ years of hands-on experience with ERP systems administration (ideally Odoo or a similar ERP like NetSuite, SAP, Oracle, Microsoft Dynamics). Proven experience in troubleshooting issues and supporting end-users in an ERP environment. Experience managing ERP-related projects or implementations from start to finish is highly valued.

- Technical Skills: Strong understanding of databases and ERP architecture; Knowledge and Experience in using tools such as JIRA, Confluence, and Bitbucket; Familiarity with ERP integration methods (APIs, data import/export tools) and comfort with reporting tools or query languages. Basic knowledge of Python and PostgreSQL (or corresponding languages for the ERP) for troubleshooting is a plus.

  - Tools & Platforms: Proficient in using JIRA, Confluence, Bitbucket for change tracking and project coordination. Experience using BI/reporting tools such as Power BI, Looker, or Tableau is a plus. Comfort with tools like Google Workspace, Excel (advanced), and system log monitoring tools is helpful for daily admin tasks.

- Business Knowledge: Broad understanding of core business processes – finance, inventory, sales, and supply chain – and how they map into an ERP system is a plus.

- Change Management & Training: Familiarity with change management best practices in ERP deployments. Demonstrated ability to train end-users and drive user adoption of new systems or features, using workshops, one-on-one coaching, and clear documentation.

- Soft Skills: Excellent communication and interpersonal skills, with the ability to translate technical concepts into layman’s terms for non-technical stakeholders. Highly organized and detail-oriented; able to juggle multiple priorities and deliver results in a fast-paced environment. Strong problem-solving abilities and a proactive mindset to anticipate and address potential system or process issues. A collaborative approach to work effectively with cross-functional teams and build consensus.
