Position Focus:
The Editorial Assistant will support the Yale School of Medicine (YSM) Office of Communication’s work to create high-quality content promoting YSM’s research, education, and clinical programs to internal and external audiences. Specifically, the role will proofread and edit content for quality, accuracy, and alignment with the style guidelines and brand standards for the YSM Office of Communications and Yale University (including Associated Press Style and Chicago Manual Style).
Editorial duties will also include writing short internal and external articles and announcements; preparing PowerPoint slides; publishing content/distributing messages via the office’s web and email distribution platforms (including list management); making online updates to faculty/staff profiles; gathering data for and managing special projects (e.g., the school’s annual Facts & Figures brochure); and completing clerical/administrative duties in support of the Office of Communications, including but not limited to scheduling and providing support for team meetings, managing calendars for the office’s senior leaders, supporting the administration and maintenance of school-wide policies, and preparing expense report/procurement submissions.
Essential Duties
1. Makes stylistic, structural, factual, and grammatical corrections. 2. Confers with author on content, form and style. Recommends revisions to manuscripts and illustrations. Performs layout work, coordinates production schedules, and ensures printing deadlines are met. 3. Maintains contact with authors, printers, faculty, staff and others associated with published work. Tracks copy through editing and production stages. 4. Writes copy for department, school, and University publications. May oversee and instruct support staff. 5. Performs clerical functions incidental to editorial activities.
Required Education and Experience
Two years of related work experience in the same job family and a Bachelor's degree in a related field; or an equivalent combination of demonstrated experience and education.
Required Skill/Ability 1:
Ability to be an independent self-starter with outstanding written (editing/proofreading), verbal, and organizational skills. Excellent attention to detail. Candidates are strongly encouraged to provide a cover letter.
Required Skill/Ability 2:
Ability to manage deadlines.
Required Skill/Ability 3:
Proficiency in Associated Press (AP) style and Chicago Manual of style. Intermediate to advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Required Skill/Ability 4:
Basic skills with web/intranet content management systems and survey building tools.
Required Skill/Ability 5:
Ability to work well with others and be flexible.
Preferred Education, Experience and Skills:
Bachelor's degree. Demonstrated ability with, or very strong interest in healthcare, science, and medicine content.
