DSHS ESH – Office Assistant 3
We’re hiring an Office Assistant 3 at Eastern State Hospital in Medical Lake, WA. In this vital role, you’ll provide clerical and administrative support on a psychiatric inpatient ward, helping ensure the smooth operation of daily activities that directly impact patient care. From managing admissions, discharges, and medical documentation to supporting interdisciplinary treatment teams and maintaining regulatory compliance, your work will play a key part in supporting the hospital’s mission. This position is essential to maintaining accurate records, coordinating care services, and fostering a safe and organized environment for both patients and staff.
About Eastern State Hospital
Located in the quiet community of Medical Lake, just 15 miles west of Spokane, Eastern State Hospital (ESH) is one of two state-operated psychiatric hospitals for adults in Washington. Since opening its doors in 1891, ESH has played a vital role in delivering inpatient evaluation, therapy, and treatment for individuals with serious mental illness. The hospital operates 375 beds across its Eastlake and Westlake campuses and is accredited by The Joint Commission and certified by the Centers for Medicare and Medicaid Services. Serving patients primarily from Eastern Washington, ESH provides essential, court-ordered psychiatric care in a secure, recovery-focused environment on a peaceful, wooded campus.
Some Of What You'll Do
- Provide clerical and administrative support on the ward, including managing patient admissions, discharges, transfers, and maintaining accurate records and documentation.
- Maintain and update ward policy manuals, patient files, and required forms, ensuring compliance with CMS and TJC standards.
- Transcribe medication orders, type treatment plans, and ensure timely updates to patient care documentation and treatment plans.
- Support interdisciplinary teams by coordinating care activities such as lab orders, off-site medical appointments, and treatment team communications.
- Ensure accurate patient identification using ID bands, photos, and addressographs; manage patient census tracking and related reporting.
- Greet and assist all ward visitors while maintaining a welcoming environment.
- Ensure forms and office supplies are readily available to support daily operations.
What we're looking for:
- Knowledge of hospital, state, and federal regulations, as well as relevant policies and procedures.
- Knowledge of mental illness, recovery principles, and infection control practices.
- Ability to communicate clearly and professionally with patients, staff, management, and the public.
- Ability to maintain a calm and therapeutic approach when working with difficult or agitated patients.
- Ability to work effectively as part of a team and resolve conflicts in a respectful, non-threatening manner.
- Ability to operate computers and standard office equipment with proficiency.
