Center for Human Services (CHS) is seeking a
detail-oriented and
mission-driven individual to join our Development and Communications team as a
Donor Database and Projects Specialist. This is a
full-time, 40-hour-per-week position, Monday through Friday, based at our
Main Office in Modesto, CA. This role provides essential support for fundraising campaigns, donor events and grant tracking, while also managing donor data integrity, processing donations, and maintaining accurate records. The Specialist will oversee donor database logistics, generate reports, support marketing efforts, and assist with departmental operations and project timelines. A successful candidate will be collaborative, organized, proficient with data systems, and committed to supporting the mission and fundraising efforts of CHS.

Position Summary: Responsible for assisting with assigned tasks related to agency development and communications, including database maintenance, special events assistance, and project management.
Qualifications
- Three years of administrative and data entry experience in a fundraising environment.
- Strong organizational and project management skills.
- Excellent communication skills both verbally and in written form.
- Proficiency in Microsoft Office Suite, including mail merge.
- Proficiency in donor database maintenance and reporting desired.
- Experience in fundraising and event logistics desired.
- Pass agency paid criminal justice screening including fingerprints.
- Pass agency paid TB (Tuberculosis) screening.
- Pass agency paid health screening and/or drug testing (if required).
- Valid California driver’s license and proof of auto insurance coverage.
- Pass agency paid MVR clearance with no more than 2 points - if you are under the age of 25 our insurance company will not allow any points.
Duties
Development Support
- Provide support in the logistics and implementation of donor events, special events, campaigns, and appeals.
- Prepare written reports, data summaries, campaign information, donor metrics, and outcomes for appeals, campaigns, events, etc.
- Process and acknowledge donations in accordance with department policy. Invoice and track pledge fulfillment payments. Record and track all donor interactions.
- Reconcile donations with the Finance Department monthly. Provide support with documentation for bi-annual financial audits and annual reporting requirements.
- Prepare and send end-of-year tax letters in accordance with IRS requirements.
- Assist with in-kind gift drop-offs, distribution and non-cash contribution receipt data entry.
- Participate as a member and note taker on various fundraising and events committees.
- Provide support in grant research and tracking.
Donor Database Maintenance
- Manage the logistics of the donor database. Build and update reports, custom fields, fund/campaign/appeal coding, letters and receipt templates.
- Set-up and maintain user accounts, payment processor integrations, campaign and event donation forms, data imports, and data exports/mapping.
- Ensure a high level of accuracy and consistency in data entry. Complete bi-annual data audits to maintain data integrity.
- Guide department staff and seasonal support staff in learning donor database basics.
- Expand knowledge of the donor database through continued online education.
- Implement changes suggested by the donor database consultant and/or Agency data management staff to maintain industry standards and meet reporting requirements
- Assist with database troubleshooting, transitions and data migration projects.
Marketing Support
- Serve as backup for community fair and event equipment requests. Ensure equipment is in working order and coordinate repairs with Facilities.
- Maintain flyers/brochures and promotional items inventory.
- Maintain email subscription sign-ups and changes, including new hire/termed employees.
- Serve as primary to monitor and respond to inquiries sent to the general email inbox.
- Record email campaign metrics and complete clean-up of bounced/dropped emails.
- Assist with the annual website audit, noting all site content updates in the respective database.
Operations Support
- Provide administrative support to department staff, including budget tracking, sending donor and Board of Director birthday cards, maintaining donor files and record retention.
- Attend department staff meetings and provide support to meet the objectives of the department work plans.
- Record and track Board of Directors annual campaign and engagement requirements.
- Create and update department policies and procedures, as well as job specific desk procedures.
- Management of department project timelines in project software.
- Manage the USPS bulk mail account, including processing renewals, fund deposits and tracking usage.
- Provide telephone coverage and other support staff duties as assigned.
- Perform other duties as assigned
