Career Opportunity
Are you seeking a new and exciting job opportunity? We are looking for a Drawings and Documents Clerk to perform a variety of routine clerical, secretarial, administrative and office support tasks. This role may also substituting for other clerical and administrative staff during periods of absence, as needed.
What You Will Do
Provide administrative/clerical assistance to the Plant Maintenance Engineering office.
Maintain weekly attendance/vacation tracking, inputting staff/management hours and update payroll adjustments, mileage claims, and overtime hours.
Track overtime hours and provide report updates based on budget requirements.
Assist with weekly submission of PME staff’s timesheets through the MyTTC/Time.
Assist with updating timesheet WBS numbers for PME staff’s capital and operational tasks.
Assist with memos/letter heads for special leave requests, formal report letters, and permit renewals to be sent to the City for approvals etc.
Maintain and update an accurate filing system of engineering drawings including monitoring sign-out and return of documents.
Receive, track and distribute Operations & Maintenance manuals to plant stakeholders.
Track and maintain information, data, records, files and updating as required.
Assist with and/or coordinate the daily administrative activities for the office.
Act as Site Champion Level 1, for the management of the department SharePoint Site (i.e logging help tickets, updating content, uploading work order requisition documents and Design work orders).
Manage all system contract purchases for assigned cost centers (i.e office stationary orders, copier papers, printer toners, safety supplies, desktop accessories, and various miscellaneous orders).
Provide back up support for other clerical and administrative staff and perform other related duties for the department and section.
Liaise with other colleagues and support staff, other departments, concerning routine matters under the direction of department staff.

What Qualifications Do You Bring
Completion of secondary school education in a relevant discipline or a combination of education, training and experience deemed to be equivalent.
Your application will reveal experience in tracking and maintaining extensive document libraries (i.e drawings, specifications, manuals etc.)
Strong knowledge of computer applications, data entry methods and software applications (i.e. MS Word, Excel, Outlook, SAP, etc.)
Experience using Document Management System (e.g Sharepoint) is considered a strong asset.
Strong typing/word processing and basic mathematical skills are required including an excellent knowledge of grammar, punctuation, and spelling.
Effective communication and interpersonal skills.
Must be detail-oriented, with strong analytical and organizational skills.
Ability to handle several responsibilities at once, under minimal supervision.
