The Docket Specialist is responsible for ensuring that deadlines, court dates, filing requirements, and legal processes are tracked and adhered to. The Docket Specialist works closely with attorneys, paralegals, and other legal professionals to manage and update the firm’s docketing system, ensuring that all legal activities are properly recorded and scheduled.
Responsibilities:
Docketing and Calendar Management
- Ensure that important deadlines (e.g., court dates, filing deadlines, discovery deadlines, etc.) are accurately tracked in the firm’s docketing system.
- Assist with the timely filing of documents with courts and agencies by coordinating with the appropriate legal team members, monitoring due dates, and confirming receipt of filings.
- Oversee and maintain the firm’s legal calendar, ensuring that all dates are correctly entered, updated, and tracked.
- Monitor email accounts for the docketing team to ensure Court filings are tracked and information is updated.
Deadline Alerts and Reminders
- Generate reminders for attorneys, paralegals, and legal assistants for upcoming deadlines, hearings, and filings. Ensure timely notifications are sent out to avoid late submissions.
- Utilize the docketing system to create and manage an effective reminder system that notifies relevant team members of upcoming deadlines and required actions.
Case Management Support
- Accurately update the firm’s case management system with relevant case information, deadlines, and updates. Ensure that all entries are complete and error-free.
- Track court filings, motions, hearings, and other significant case events to ensure they are scheduled and completed on time.
- Organize and track legal documents related to cases and ensure all case-related paperwork is filed in accordance with firm policies and legal requirements.
Collaboration with Legal Teams
- Work closely with attorneys, paralegals, and other legal professionals to understand case needs and ensure all important dates and deadlines are tracked.
- Assist in scheduling meetings, depositions, hearings, and other case-related events based on the docketing information and deadlines.
- Assist legal teams in clarifying filing requirements, court rules, and other legal deadlines, ensuring full compliance with applicable laws and regulations.
Reporting and Documentation
- Regularly generate and provide reports to attorneys and management regarding case status, upcoming deadlines, and potential risks.
- Ensure that all documents, emails, and communications related to deadlines are properly logged and documented for easy retrieval.
Other Duties as Assigned
- Provide additional docketing and administrative support to litigation teams as needed, including organizing case files, assisting with discovery requests, and maintaining other related documents.
- When cases are concluded or no longer active, ensure all case documents are properly archived, and case information is accurately stored for future reference.
Qualifications:
- Associate’s degree or higher; paralegal or legal assistant certification may be preferred.
- Minimum of 3-5 years of experience in a legal office or law firm environment, with at least 1 year in a supervisory role.
- Strong knowledge of legal terminology, court procedures, and case management software.
- Exceptional organizational skills and attention to detail.
- Ability to manage a team and provide leadership and direction.
- Strong problem-solving and time management skills.
- Excellent verbal and written communication skills.
- Proficient with Microsoft Office Suite, legal management software, and case management systems.
- Ability to maintain confidentiality and handle sensitive information with discretion.
The expected salary range for this position ranges from $80,000 -$90,000. It is not typical for offers to be made at or near the top of the range. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained. Market and Firm factors are also considered. In addition to the base salary and a generous employee benefits package, successful candidates are eligible to receive a discretionary bonus.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
