Summary

Alden Law Group PLLC is seeking an experienced Director of Operations. The successful candidate will report directly to the Chief Financial Officer and the firm’s partners and will be responsible for all aspects of the firm’s day-to-day operations, including accounting and billing cycles, technology and infrastructure, human resources, finance and marketing. The role coordinates extensively with our external CPA and IT vendors

This role will be critical in providing strategic support to firm leadership by providing analysis and recommendations for key decisions to further the firm’s mission. This includes high-level input for all non-legal matters relating to funning the business of the firm.

Responsibilities

Financial Management

  • Oversee financial transactional activity and accounting cycles, accounts payable, accounts receivables, billings, payroll;
  • Manage the general ledger;
  • Maintain and reconcile IOLTA Client Trust accounts;
  • Review and approve monthly bank reconciliations for all accounts in a timely manner;
  • Monitor and project cash flow.


Facilities/Operations Management

  • Manage and help our vendors implement infrastructure and IT.


Marketing and Business Development

  • Develop and implement marketing strategies to promote the firm's services and enhance its brand visibility.
  • Oversee the firm's online presence, including website management, social media, and digital marketing campaigns.

·      Identify and track delinquent clients and communicate with clients regarding billing questions and payment plans.


Human Resources

  • Train new hires including attorneys and paralegal staff on timekeeping and accounting policies.
  • Manage employee onboarding and exit procedures.
  • Develop and implement HR policies and procedures to ensure compliance with employment laws and regulations.
  • Partner with 401k Plan administration, ensuring accuracy of census and compliance with IRS regulations.
  • Manage benefits such as the 401k plan, health plan, transit plan, flexible spending accounts, and capital bikeshare program.


Supervision of Administrative Staff

  • Serve as liaison between partners and legal assistant/paralegal/intake coordinator.
  • Provide day-to-day oversight and guidance to paralegals/legal assistants.
  • Tracks paralegal/legal assistant/intake coordinator workload and reassigns taskings when and if necessary to ensure availability of staff to respond to potential clients and meet internal deadlines.
  • Oversee preparation of reports in support of fee petitions and settlement negotiations.
  • Oversee legal assistants/paralegals time and expense entries in billing system and coordinating payments with vendors.


Requirements:

  • Bachelor’s degree in business management, Accounting, Finance; or equivalent 4+ years of experience working in a law firm.
  • Accounting experience in a law firm dealing with trust accounts.
  • Advanced knowledge of Microsoft Office Excel, Adobe Pro, and Quickbooks and financial reporting (including trust account).
  • Proven ability to communicate effectively orally and in writing.


Compensation & Benefits

The expected range for candidates with 4-8 years of relevant experience is $90,000 to $130,000 plus discretionary bonuses.
