Employee Job Title: Director of Operations
Hours: Full Time, Mon - Fri, between 8am - 5pm PST
Reports to: President and Secretary of the Company
Compensation: $80,000 - $120,000 / year + benefits
Job description: The Director of Operations oversees the day-to-day operations of Dr. Killigan’s across all departments. This role identifies areas of process improvement for maximum productivity for the company. Ensuring resources are properly allocated, the Director of Operations continues to enhance the company’s operational plans. Excellent communication is imperative in this role to ensure that operations are running smoothly.
Duties & Responsibilities:
Work with company leaders strategizing how teams are going to be hitting the roadmap and company goals
Overseeing talent management
Oversee daily business administration
Develop and train management and leadership skills in the company
Ensure that the right subject matter expert (internal and external) is speaking into the right areas of the company
Build and maintain relationships with all department heads, external partners, and vendors to make decisions regarding operational activity and strategic goals
Plan, monitor, and analyze key metrics for the day-to-day performance of the operations to ensure efficient and timely completion of tasks
Devise strategies to ensure the growth of programs company-wide, identifying and implementing process improvements that will maximize output and minimize costs
Implement and oversee projects that will improve operational performance
Collaborate with executive-level management in the development of performance goals and long-term operational plans
Maximize efficiency and productivity through extensive process analysis and interdepartmental collaboration
Set strategic goals for operational efficiency and increased productivity
Assist the executive team with the development of financial and budgetary plans for the operations department
Analyze current operational processes and performance, recommending solutions for improvement when necessary
Improve the efficiency of existing organizational processes and procedures to enhance and sustain the organization’s internal capacity
Actively pursue strategic and operational objectives
Ensure operational activities remain on time and within a defined budget
Develop, implement, and monitor day-to-day operational systems and processes that provide visibility into goals, progress, and obstacles for our key initiatives
Uphold organization policies, standards, and core values
Work closely with operations manager & human resources to lead team with integrity and establish and maintain a trusting, inclusive, and productive environment
Oversee materials and inventory management
Work closely with the inventory manager to perform analysis of our inventory and ensure we are utilizing our inventory effectively, purchasing the right equipment and maintaining solid inventory data
Ensure all legal and regulatory documents are filed and monitor compliance with laws and regulations
Identify and address problems and opportunities for the company
Help promote a company culture that encourages top performance and high morale
Support communication with the management team
Requirements
5+ years in a senior leadership and/or operations role
Proven success in improving operational efficiencies
Must have excellent computer skills and knowledge of relevant software
Must possess strong knowledge of administrative systems and procedures, such as filing and record keeping
Must have knowledge of basic office management
Experience in finance is preferred
Strong written and verbal communication skills
Speak and understand English at a professional level
Ability to remain stationary in a sitting position for prolonged periods of time
Ability to work in front of a computer screen for several hours
Repeating motions that may include the wrists, hands and/or fingers
Competencies:
Organization and the ability to multitask and manage multiple projects
Flexibility to help the team adjust to new tasks should company needs change
Strong interpersonal skills to interact positively with all employees and customers
Strategically minded to build the operations department as the company scales
