Summary

Job Summary:

The Director of Operations will oversee and optimize the firm’s operational/administrative processes, provide team leadership to administrative staff and other support personnel, and ensure effective and efficient daily operations. This role requires exceptional organizational skills, operational expertise, a hands-on approach, and a proven ability to manage remote and hybrid teams effectively.


Key Responsibilities:

  • Lead and supervise the operations team, including administrative staff and support personnel.
  • Oversee and optimize the firm’s operational processes and resource management.
  • Serve as executive assistant support to multiple partners
  • Utilize advanced proficiency in Excel and Smartsheet to develop, implement, and monitor operational efficiencies and reporting systems.
  • Actively participate in administrative duties, demonstrating a hands-on approach and willingness to support team members when needed.
  • Identify, analyze, and resolve operational issues promptly and effectively.
  • Maintain clear, professional, and proactive communication with clients, staff, partners, and other stakeholders.
  • Collaborate closely with remote team members, ensuring seamless integration and alignment across hybrid working environments.
  • Continuously seek opportunities for process improvement, efficiency gains, and enhanced team productivity.
  • Manage and work in the office 3 days a week.
  • Perform other related duties as assigned.


Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.


Education and Experience:

  • A minimum of 10 years of professional experience, preferably within the professional services industry.
  • Bachelor’s degree in related field preferred. 
  • Demonstrated experience supervising diverse teams including professionals, administrative personnel, and operational staff in a professional services firm.
  • Proven experience providing executive-level administrative support to multiple partners or senior executives.
  • Advanced knowledge and proficiency in Excel required; experience with Smartsheet a plus.
  • Strong organizational and problem-solving skills, with the ability to proactively identify and resolve operational challenges.
  • Excellent written and verbal communication skills; capable of interacting effectively with various stakeholders.
  • Proven capability to successfully manage remote and hybrid teams.
  • Comfortable working in a hands-on capacity, assisting with administrative tasks when necessary.


Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
