Description JOB TITLE: Director of Finance and Administration REPORTS TO: Executive Director STATUS: Full-Time, Exempt, Salary, Fully Benefitted, On-Site (with flexibility) LOCATION: Portland, Oregon COMPENSATION: $80,000-$85,000 Lan Su Chinese Garden's mission is to cultivate an oasis of tranquil beauty and harmony to inspire, engage and educate our global community in the appreciation of a richly authentic Chinese culture. About Lan Su Chinese Garden: More than just a botanical garden, Lan Su Chinese Garden opened in 2000 through a collaboration between Portland and its sister city, Suzhou. Built by Suzhou artisans, it stands as one of the most authentic Chinese gardens outside of China. Inspired by Ming dynasty scholars' gardens, Lan Su evokes beauty, provokes thought, and offers over 500 programs annually through community partnerships. POSITION SCOPE: Oversee all financial related aspects of Lan Su Garden's operations. Continuously improve accounting, budgeting and administrative processes and adapt infrastructure/systems to support the organization's strategic and operational needs. This position requires a hands-on approach to getting things done while working independently, skill in managing a full-time Accounting Assistant, collaboration with Lan Su's leadership team and ownership of the functionality of the organization's Finance Committee in partnership with the Treasurer/Finance Chair. RESPONSIBILITIES: Financial Leadership & Management * Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements; collate financial reporting materials for all donor segments, and oversee all financial, project/program and grants accounting. * Coordinate and lead the annual audit process, liaise with external auditors and the finance committee of the board of directors; assess any changes necessary. * Oversee and lead annual budgeting and planning process in conjunction with the ED; administer and review all financial plans and budgets; monitor progress and changes; and keep senior leadership team abreast of the organization's financial status. * Manage organizational cash flow and forecasting. * Update and implement all necessary business policies and accounting practices; improve the finance department's overall policy and procedure manual. * Effectively communicate and present critical financial matters to the board of directors. * Hands-on approach to timely and accurate recording of all transactions, maintenance of the general ledger, monthly account reconciliations and month-end close. * Oversee, coach, and manage the full-time Accounting Assistant to a high level of performance and satisfaction. Human Resource Partnership and Administrative Leadership * Collaborate with all management staff to identify and deliver the required administrative support operations for the organization. * In partnership, secure best prices and coverage in health care and other benefits. * Maintain adequate insurance including property, casualty, worker's compensation and unemployment. * Oversee the payroll work of the Accounting Assistant. * Prepare Personal Services Contracts. * Administer and maintain contracts, legal and lease files. ESSENTIAL QUALIFICATIONS: * Minimum of a Bachelor's Degree in Accounting or Finance, ideally with an MBA/CPA or related degree. * At least seven to 10 years of overall professional experience; ideally six-plus years of broad financial and operations management experience, preferably for a non-profit organization. * The ideal candidate has experience of final responsibility for the quality and content of all financial data, reporting and audit coordination for either a division or significant program area, and has preferably overseen a human resources function previously. * Ability to translate financial concepts to - and to effectively collaborate with -- programmatic and fundraising colleagues who do not necessarily have finance backgrounds. * A track record in grants management. * Technology savvy with experience selecting and overseeing software installations and managing relationships with software vendors; knowledge of accounting and reporting software. * Thorough understanding of, or ability to quickly learn, the office equipment, recordkeeping systems, management information systems, and related protocols used in the organization. * Experience with benefits administration and other HR functions. * Demonstrated ability in developing and mentoring staff. * Excellent people skills, with experience in collaboration with a commitment to openness and transparency. * Flexible and a self -starter; willingness to "roll up the sleeves" to get things done and make things happen. * Interest in gardens, Chinese culture, education, people and working collectively to bring Lan Su's mission alive. You may not have everything needed. Perhaps you have a strong combination of experience, technical, academic skills and passion in the following areas: * Knowledge in Chinese language, AANHPI cultures, museums, cultural institutions and/or botanical gardens is desired, but not required.
