Position Summary: The Director for Student Life Operations position reports to the Vice President for Student Development and assists with the daily operations of Student Life (Beacon Beanery, Campus Ministry, Residence Life, Student Programs, Intramurals, Campus Dining, Student Conduct, Campus Dining, Wellness Programs, Student Government/ASBU and Security). Key duties of this role involve supporting the Vice President and the Student Life Office through a range of administrative and technical functions including management of the onsite Beacon Beanery, database lead for SL operations, and administrative support for departmental communication and signature events. This position will require effective interpersonal skills with the ability to work both individually and as part of a team. Position Duties and Responsibilities: * Assist Vice President to provide operational leadership for Student Life programs, services, and administrative functions. * Serves as Manager for the day-to-day operations of onsite Beacon Beanery including: * Hiring, training, and supervision of student barista staff * Collaboration with Ala Carte vendor for inventory acquisition * Merchandise purchasing and sales promotion * Oversee budget including allocation, forecasting, and expenditures * Ensure health, safety, and sanitation guidelines are adhered to * Liaison with facilities, vendors, and res life to maintain beanery operations * Assist in the development and preparation of reports, meeting materials, budgets and other reports; collect data and perform research on a variety of matters as directed, including the preparation of financial and statistical reports. * Assist with planning and serve as the administrative liaison for signature departmental events including; Orientation Family Dinner, Sophomore Year Experience, Junior Discernment Retreat, and Year End Celebrations. * Arrange and schedule meetings and appointments utilizing Outlook, make reservations and travel arrangements, establish and maintain regular and special schedules of the work unit, and attend meetings as assigned. * Collaborate across campus to prepare and distribute weekly beacon communication. * Utilize Jenzabar (academic database/ERP) for student comm flow, and to track meal charges, student activities, immunizations, and other student information. Attend weekly Jenzabar meetings to stay current on system changes and continue learning how the Jenzabar system could support Student Life. * Monitor progress of and develop schedules for assigned projects and maintain record-keeping systems. * Coordinate, advertise, and compile student welcome baskets for purchase during Orientation. * Coordinate Student Life Leadership hiring process including student interviews, hiring announcements, and hiring paperwork. * Maintain a variety of logs, files, and records; data entry; control the release of sensitive information to authorized personnel. * Order and maintain inventory of equipment, materials and supplies; review documents, records, lists, tables, and other materials for accuracy, completeness and conformance with applicable rules and regulations. * Assist with office functions including: the development of marketing materials and newsletters to be used in relation to Student Life, webpage maintenance, and enforce the campus publicity policy. * Provide support and supervision for the Resident Director & Coordinator for Student Life Operations, front desk, and mailroom. * Attend various meetings (1 on 1, Departmental, Divisional, cross departmental). * Perform related duties as assigned. Experience and Qualification Requirements: Any combination equivalent to: Bachelor's Degree (master's degree preferred in areas of student affairs, leadership, business, or related field) and four years professional or para-professional experience in Student Life or an office operations setting. Knowledge of planning, organization, and leadership best practices is essential; prior demonstrated experience using Microsoft software (Word, Excel, Outlook) and proficiency navigating and utilizing database platforms. Prior experience in an academic environment or student affairs is highly desirable. This position will require effective interpersonal skills with the ability to work both individually and as part of a team.
