AIA Seattle is seeking a Development Coordinator to support the development activities of AIA Seattle, a 501(c)(6) professional membership organization, and our 501(c)(3) strategic partner, Seattle Design Festival.

The Development Coordinator coordinates fund development activities of AIA Seattle and Seattle Design Festival, including sponsorship and individual giving, as well as AIA Seattle’s member recruitment, retention, services, and benefits. The Development Coordinator works with and in support of the Development Manager to successfully envision and implement multiple campaigns. The ideal candidate will be collaborative, customer-service focused, detail-oriented, and able to efficiently juggle multiple projects and priorities.
Goals of Position
- Support Development Manager with membership campaigns, and individual members, by coordinating renewal and recruitment processes, managing member data, and managing member benefits
- Support Development Manager with fundraising efforts for AIA Seattle and Seattle Design Festival, managing sponsorship and donor data, and assisting with activities related to sponsor and donor cultivation, stewardship, and appreciation
- Support Executive Director with administrative activities of the organization including office support tasks, processing payments, and pulling reports to support regular financial processes
Essential Responsibilities
Fundraising (50%)
- Coordinate sponsorship campaigns for AIA Seattle and Seattle Design Festival, management of tracking tools, and delivery of benefits
- Develop content for campaigns, including written communications for individual donors and sponsors, including e-news, social media, email outreach, acknowledgements, and other communications
- Serve as point of contact for sponsors, and coordinate sponsor engagement in programs in collaboration with programs team
- Coordinate individual giving campaigns, including donor outreach and acknowledgement activities
- Maintain sponsorship donor records and recognition
- Monitor fundraising progress and trends, scheduling and pulling reports as needed
- Process payments, send receipts, and acknowledgements
- Provide support for steering committees, such as coordinating engagement and appreciation events
- Attend and support events and functions as required
Membership (40%)
- Coordinate AIA Seattle membership campaigns
- Develop content for campaigns, including written communications for members, e-news, social media, email outreach, acknowledgements, and other communications
- Serve as a point of contact for member needs and support their membership applications, renewals, and adjustments
- Manage AIA Seattle’s member benefits delivery, such as an online job board, a member firm directory, and other benefits which require support
- Monitor membership progress and trends, scheduling and pulling reports as needed
- Collaborate with team to support member inquiries and interests
- Provide support for board and steering committee gatherings such as board meetings and happy hours
- Attend and support events and functions as required
Administration (10%)
- Manage distribution and contact lists
- Manage the general mailbox for the organization, directing inquiries to the appropriate staff member
- Deliver reports from national and local databases
- Collect and process mail
- Document organization activities including taking notes in board meetings
- Coordinate and support office activities and supplies
- Coordinate filings required by state and local government entities
- Receive and deposit check payments and report deposit activity to accounting team
- Provide monthly reports from online platforms to accounting team
- Coordinate payment platform activities in collaboration with team
- Coordinate payments over the phone

Job Qualifications
- Demonstrated coordination experience, preferably with campaigns, and/or projects, preferably in an office or non-profit environment
- Proficiency in Microsoft Office 365, and familiarity with email and registration software (Constant Contact), donor databases (Little Green Light), virtual platforms (Zoom), and basic HTML a plus

Benefits And Compensation
This is a full-time position in the range of $23.46-28.50per hour. AIA Seattle contributes 100% of employee premium coverage of medical benefits and life insurance, and employees may enroll in the company dental plan which the company covers at 50% of the premium. Employees are invited to participate in a 401k for which the company matches up to 4% of wages per year. Full-time employees receive holiday leave which includes nine paid holidays, plus the entire week between December 25th through January 1st. New full-time employees accrue ten days of additional paid time off over the course of the year, with an additional day for each anniversary of hiring date, and additional sick leave above the requirements of the City of Seattle and State of Washington. Sixteen hours are available for paid employee community service each year, which can be used by team members to give time for their passions and interests.
