About the Role:

Join a collaborative Development and External Affairs team supporting fundraising, marketing, and volunteer initiatives. As the Database and Administrative Manager, you’ll ensure the integrity of donor data, drive data-informed fundraising strategy, manage administrative operations, and support fundraising leadership with key initiatives that strengthen the organization’s impact.

Key Responsibilities:

Data Management

  • Maintain and manage donor data within Raiser’s Edge, including processing online, check, ACH, and third-party donations.
  • Ensure database quality control: regular de-duplication, field management, and data consistency.
  • Oversee donor acknowledgment processes, including templates, mailings, and tracking.
  • Collaborate with the finance team to reconcile donation records and maintain data accuracy.
  • Generate and analyze fundraising and finance reports, and create data dashboards in Raiser’s Edge NXT.
  • Segment and prepare donor lists for appeals, events, and communications.
  • Manage email lists in Constant Contact and analyze engagement data.
  • Guide staff on best practices for data entry, reporting, and database use.
  • Support moves management processes for tracking donor interactions and grant proposals.

Administrative Support

  • Manage department finances: track budgets, process invoices, and handle credit card reconciliation.
  • Coordinate scheduling, logistics, and setup for all departmental meetings.
  • Maintain organized and accessible digital filing systems for the department.
  • Update and refine internal policies and procedures for data management and administration.

Strategy and Fundraising Support

  • Partner with development leadership to build and refine data systems that support fundraising growth.
  • Provide strategic insights by analyzing donor engagement trends and prospect data.
  • Support fundraising leadership and special events efforts through donor analysis and research.
  • Identify potential major donor prospects through data analysis.
  • Assist with special projects and perform other duties as needed.

Qualifications:

Required:

  • 2+ years of nonprofit experience with a focus on database management and reporting.
  • Proficiency with Raiser’s Edge and Raiser’s Edge NXT (minimum 2 years of experience preferred).
  • Highly detail-oriented with strong analytical and data processing skills.
  • Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUPs, etc.).
  • Ability to manage multiple projects in a fast-paced environment and prioritize effectively.
  • Strong communication skills and the ability to train others on database practices.

Preferred:

  • Bachelor’s Degree.
  • Experience in building and maintaining donor and community relationships.
  • Proficiency with Microsoft Word and Outlook.
