Job Summary:
We are seeking a meticulous and proactive Data Administrator to ensure the integrity and accuracy of our operational data. This role is essential in supporting sales, inventory, and procurement processes by maintaining structured, up-to-date records across ERP and collaborative platforms.
Key Responsibilities:
- Manage and update ERP system database: products, pricing, item codes, warehouse data, etc.
- Receive and process Sales Orders (SO); verify completeness and input into ERP.
- Monitor stock availability for daily sales and project requirements.
- Calculate and revise product price lists on a regular basis.
- Document incoming goods and support procurement data entry.
- Support the sales team with updated templates, commercial naming, and accurate product references.
Key Activities (Tools & Notes):
- Review Sales Orders: Quotient, SharePoint — ensure data is complete and aligned with needs.
- Monitor inventory & stock movement: ERP, warehouse reports — with attention to fast-moving items.
- Scan and archive delivery documents: Scanner, NAS folder — use standardized file naming format.
- Input new item codes: ERP — coordinate with procurement if costing data is missing.
- Track stock levels periodically: Excel, ERP — flag low stock levels to the relevant team.
- Receive and verify incoming goods: PO, delivery notes — match with procurement documents.
- Perform basic QC checks: SOP checklist — document any rejected items for follow-up.
- Support sales team requests: SharePoint, Excel — provide the latest pricing and product data.
- Maintain master price list: ERP, Excel — update pricing or product entries when changes occur.
- Prepare weekly inventory reports: Excel, ERP — submitted every Friday afternoon for sales use.
Requirements:
- Experience in data administration or similar roles.
- Proficiency in Microsoft Excel (pivot tables, formulas, filters, VLOOKUP/XLOOKUP).
- Familiarity with ERP systems and digital file management.
- Strong attention to detail and accuracy.
- Effective communicator with strong organizational skills.
- Bonus: Experience in architectural or design-focused industries, using AI tools to leverage higher productivity and output.
