Summary: The Account Operations Specialist is responsible for managing operational and service delivery processes tied to key customer accounts. This includes account setup, billing validation, data analysis, reconciliation, compliance tracking, and cross-functional collaboration with internal and external stakeholders. The role supports operational excellence and customer satisfaction by ensuring high-quality, accurate, and timely service execution.

Responsibilities

  • Manage the day-to-day operational functions of client accounts, ensuring all SLAs and compliance requirements are met.
  • Monitor account workflows and ensure the accuracy of documentation, billing, and communications.
  • Serve as the primary operational liaison between customers and internal teams (customer service, billing, order management, and implementation).
  • Identify solutions for clients and provide consultation on the most efficient and cost-effective ways to manage their logistics operations.
  • Exercise independent judgment in recommending operational strategies and resolving client-specific logistics challenges.
  • Conduct regular account audits to verify service accuracy, billing alignment, and operational performance.
  • Develop and maintain SOPs, work instructions, and account-specific processes to ensure consistent service delivery.
  • Support onboarding and implementation processes for new accounts and shippers, including leading internal coordination and timeline management.
  • Collaborate with finance to ensure invoice accuracy, resolve discrepancies, and perform account reconciliations.
  • Analyze service metrics and operational KPIs to identify trends, uncover inefficiencies, and develop data-driven recommendations for improvement or automation.
  • Coordinate and manage account-specific projects, process improvements, and initiatives requiring cross-functional collaboration.
  • Serve as a subject matter expert on client accounts and operational best practices, supporting training and mentoring for new team members.

Qualifications

  • Bachelor’s degree in Business, Finance, Supply Chain, or related field; or equivalent combination of education and experience.
  • 3–5 years of experience in account operations, logistics coordination, or customer service management.
  • Strong analytical and Excel skills, including data modeling, reconciliation, and visualization.
  • Excellent communication and relationship management skills.
  • Familiarity with TMS, CRM, and ERP systems.
  • Ability to prioritize competing tasks and work independently in a deadline-driven environment.
  • Knowledge of logistics, shipping, freight billing, and customer contracts is preferred.
