Responsibilities
The
Events & Conference Coordinator is a
full-time, on-site position responsible for managing the NonProfit Center (NPC) and Link conference facilities, ensuring seamless execution of conference room rentals, upkeep of AV systems and overseeing vendor relationships. Acting as the
face of conference & rental services, this role is the primary point of contact for tenants and nonprofit organizations utilizing the conference spaces. The coordinator will assist with
AV setup, room tours, event logistics, contract execution, and financial tracking related to conference rentals. The Events & Conference Coordinator will support efforts to ensure safe, sound and well-maintained conference and meeting space facilities. This position requires
5 days per week on-site, with
occasional evening or weekend events, as needed (adjusted work shift or pre-approved overtime). Additional support will also be given to the TSNE Property Services portfolio of properties as needed by working collaboratively with the team.
Essential Functions
Conference Operations & Facilities Management – 60%
- Serve as the primary point of contact for conference room inquiries, reservations, and event coordination.
- Manage a trusted list of vendors and partners for catering, AV, and other conference needs.
- Conduct room tours for prospective tenants and nonprofit organizations.
- Oversee AV setup, troubleshoot technical issues, and ensure seamless event execution.
- Manage and execute rental agreements and assist with the tracking of all financial transactions related to conference services.
- Coordinate with the accounting team for invoices and payments.
- Regularly inspect AV equipment, furniture, and supplies; report and coordinate maintenance needs.
- Ensure conference spaces are clean and reset between events, working collaboratively with Property Services Team for needs and support.
- Partner with other below-market space providers to offer alternative locations when needed.
Property and Tenant Support – 25%
- Act as the on-site representative for Property Services portfolio of properties, as needed.
- Maintain communication with the Property Services team regarding facility needs and client concerns at the NonProfit Center, the Link and other managed properties.
- Perform occasional tours of properties includes in TSNE Property Services portfolio (currently Boston & Cambridge).
- Assist and maintain up-to-date records for vendor contracts, leases, and insurance certificates.
- Assist in coordinating work orders and minor facilities management needs.
Tenant Event Coordination – 15%
- Assist in the planning and support of Property Services hosted tenant events, including receptions, movie nights, ice cream social, etc. for the NonProfit Center, Link and other managed properties as needed.
- Promote in-building community engagement initiatives.
- Coordinate and plan ‘tenant roundtable meetings’ for the NonProfit Center, Link and other managed properties as needed. Ensure these are scheduled regularly (quarterly or semi-annual), have presence from Property Services staff and tenant organizations. Keep a running agenda for these meetings to assist in execution.
- Ensure adequate staffing for events and provide on-site support as needed.
Complete other tasks and projects related to the job, as needed.
