We are currently hiring a Contracts Coordinator to join our growing team. This position will be based in our office in North Charleston, SC. This is a great opportunity to join an industry leading firm!
Essential Duties & Responsibilities
Draft and formalize all AIA Contracts, change orders, and amendments. Manage approvals via DocuSign.
Maintain Contract/Bid Files for the office and clients.
Assist with monitoring, assigning, and verifying budget numbers and related information on requisitions, claim forms, and personnel/time reporting documents.
Post expenditures and maintain ledger accounts.
Prepare documentation for input into computerized accounting systems, including client’s software program. Ensure accuracy and thoroughness of documents, as well as meet client procurement code requirements.
Assist with preparation and maintaining bookkeeping records on revolving cash funds, or similar programs and activities.
Lead efforts in preparing and processing all client invoices/pay applications.
Keep accurate invoice records to assist with monthly reconciliation with the client.
Assist with administering Project Acquisition Strategy.
Assist with administering the Bidding Process.
Assist with maintaining Contract/Bid Files for client.
Field questions from contractors and consultants about status of invoices.
Assist with close-out completed contracts in accounting software.
Archiving of important program information as needed.
Other duties as assigned.
Knowledge & Skills Required
Ability to assist in managing multiple funding sources.
Intermediate knowledge of Windows, Word, PowerPoint and Outlook.
Intermediate to Advanced skill level with Excel.
Experience with Procore software.
Ability to sort, check, count, and verify numbers.
Ability to multi-task, prioritize and work efficiently.
Ability to work independently with little direction, self-starter, energetic.
Ability to demonstrate good common sense and sound judgment.
Ability to effectively integrate with other departments.
Procurement background a plus.
Flexibility to adapt to all situations.
Ability to perform at high levels in a fast paced, ever-changing work environment.
Ability to anticipate work needs and follow through with minimum direction.
Apply knowledge of commonly used concepts, practices, and procedures in the relevant industry.
Rely on instructions and pre-established guidelines to perform the functions of the job.

Preferred Education And Experience
Education: High School Diploma or equivalent. Associate Degree in Accounting, Business, Finance strongly preferred.
Experience: Minimum of 3 years of Accounting/Finance experience. Background in the Construction Cost Accounting preferred.
