Position Overview
The Contracting Support Specialist plays a vital role in driving the success of the contracting department. This position is responsible for researching and qualifying leads, maintaining accurate internal records, assisting with contract processes, and delivering an exceptional customer experience with a strong focus on customer satisfaction. Strong attention to detail, organizational skills, and problem-solving abilities are essential, along with the ability to leverage available resources—including AI tools like ChatGPT—to enhance efficiency. Prior experience in cold calling, medical terminology, contracting, or negotiation is a plus.
Key Responsibilities
Lead Research and Qualification
Conduct research and prequalify leads nationwide for providers treating Personal Injury Patients
Assist in gathering essential information to complete due diligence on prospective providers
Obtain and organize necessary details to support the Contracting Specialist in contacting and negotiating with potential providers
Contract Management
Oversee the full execution of all contracts on PROVE's end, ensuring timely and accurate completion
Ensure all executed contracts, templates, are properly stored and organized in SharePoint
Maintain accurate and up-to-date provider profiles and contracts in Pulse
Manage and monitor the contracting email inbox, ensuring prompt responses and proper handling of all inquiries
Meeting & Communication Support
Schedule and coordinate meetings and conference calls between the Contracting Specialists and prospective providers
Send follow-up summaries of virtual meetings and conference calls with providers
Take detailed and organized notes during meetings for internal reference
Address basic logistical inquiries from providers, such as claims address details
Leverage ChatGPT for problem-solving and external communications as needed
Ticket and Lead Management
Ensure accurate ticket submissions for new contracts and provider requests to join the network are entered into Salesforce
Assist with provider follow-up after a contract has been sent, ensuring timely execution
Monitor and ensure compliance with lead qualification KPIs, supporting Contracting Specialists in achieving successful negotiations and completion of contracts within established timelines
Ensure all leads—qualified, disqualified, and unqualified—are logged correctly in Salesforce
Required Skills & Qualifications
Cold calling experience, in a medical contracting setting preferred
Strong research and analytical skills
Exceptional attention to detail and accuracy in data entry
Ability to synthesize information and summarize key points for meeting summaries
Experience with SharePoint or similar document management systems is a plus
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with AI tools like ChatGPT
Experience with Salesforce
Strong organizational and time-management skills, with the ability to handle multiple tasks and deadlines
Highly organized, including maintaining the location of passwords, document copies, and key resources to advise the Contract Manager as needed
Preferred Qualifications
1+ year of experience in the Personal Injury industry
1+ year of contract experience
1+ year of medical experience
Prior experience in contracting, provider relations, or healthcare administration
Familiarity with legal entity structures and business entity searches
Knowledge of CMS and medical terminology
Compensation & Benefits
Salary: $800-$1,000 USD per month
