W&T Offshore is currently seeking an experienced Contract and Records Manager. This direct-hire opportunity is ideal for professionals looking to join a well-established upstream oil and gas company with over 40 years of leadership in the Gulf of Mexico.

WORKING LOCATION: Houston Office - 5718 WESTHEIMER RD, HOUSTON, TX 77057

FULL-TIME/PART-TIME: Full-Time

SCHEDULE: Mon -Thurs - 9 hours (in-office)/Friday - 4 hours (remote)

FLSA STATUS: Salary, Exempt

POSITION SUMMARY: Contract andRecords managers assist with a company’s day-to-day contracting efforts and log and track the vast number of traceable documents that energy companies generate and receive every day, including legal, tax, and regulatory documents, internal policies, and other information pertaining to the business. This role will support the legal department and report to the Deputy General Counsel, Corporate and M&A.

Primary Responsibilities

  • Managing the Company’s ordinary course contracting process with potential contractors and counterparties ensuring that legal contracts and documents are properly drafted, reviewed, executed, and stored in compliance with both internal policies and regulatory/legal requirements.
  • Coordinating and managing processes to ensure that legal and business records, including contracts, are appropriately distributed, stored, and archived in compliance with internal and regulatory requirements, including the Company’s records retention policy.
  • Assisting in the development of document or content classification taxonomies to facilitate information capture, search, and retrieval of legal records and business documents.
  • Develop policies, procedures, and training to ensure the organization follows all required external and internal standards for the maintenance of legal records, contracts, and other critical business documents, ensuring compliance with relevant laws such as data privacy and legal retention periods, and overseeing the process of finding and retrieving records in response to information requests.
  • Consolidating and converting new files into the company’s standard format.
  • Entering data into the company’s records management database ensuring that legal documents, contracts, and other critical records are accurately entered, tracked, and accessible for future legal and business needs.
  • Processing records/boxes from field offices that have been forwarded to offsite storage for archiving.
  • Liaising with other departments and building relationships to ensure there is a coordinated approach and cost-effective process in the management of both legal and business records, ensuring all legal documentation is properly handled and compliant with relevant standards.

Knowledge, Skills, Abilities, And Other Work Requirements

  • Typically a minimum two-year diploma related to records management, library studies or archives management is required.
  • It is possible to transfer into this role with experience within a company and significant administrative management experience.
  • Experience with databases is an asset.
  • Strong computer literacy, including proficiency in Microsoft Word, Excel, and PowerPoint and Sharepoint.

Working Conditions & Physical Requirements

  • Requires prolonged sitting, some bending and stooping.
  • Occasional lifting up to 10 pounds.
  • Manual dexterity sufficient to operate a computer keyboard and calculator.
