Our client is seeking a highly organized, proactive, and detail-oriented individual to serve as an Executive Assistant to the President and Estimating Coordinator. This role will focus on supporting executive operations, coordinating estimating functions, and assisting in marketing and proposal development.
The ideal candidate should be tech-savvy, process-driven, and highly organized, with the ability to streamline processes, take initiatives, and implement tools to improve efficiency.
Key Responsibilities:
Executive Assistant Duties (Reports to the President)
- Serve as the right hand to the President, managing priorities, schedules, and action items.
- Track and follow up on key initiatives, projects, and leadership tasks.
- Maintain task tracking & accountability systems to ensure smooth execution of company objectives.
- Assist in President strategic planning, research, and business operations improvements.
- Prepare and organize leadership meetings, track action items, and ensure follow-through.
Estimating Coordinator Duties (Reports to the Director of Estimating)
- Support the Estimating Department by managing administrative processes, tracking bids, and ensuring smooth workflow.
- Organize bid documentation, maintain schedules, and ensure timely submissions.
- Assist in cost-tracking, vendor bid evaluation, and Estimating data analysis to support better decision-making.
- Coordinate with vendors and subcontractors for pricing and proposal submissions.
- Help implement process improvements within the estimating team to streamline workflows.
Marketing & Proposal Development Duties (Reports to the President & Director of Estimating)
- Assist in the development and maintenance of marketing materials and presentation brochures.
- Coordinate and assemble bid proposals and RFQ submissions
- Support website updates and social media content related to company projects and achievements.
- Track bid results and assist in refining strategies for future proposals.
Ideal Candidate Profile:
- Highly organized and detail-oriented.
- Tech-savvy, with the ability to understand and assist in implementing AI tools.
- Understanding of construction processes, estimating workflows, and bid management.
- Strong writing and editing skills, particularly for proposals, marketing content, and presentations.
- Experience with marketing materials, branding, and content development.
- Ability to prioritize, execute, and follow up independently with minimal supervision.
