Accounts Payable & Office Assistant who is meticulous, organized, and takes pride in staying ahead of deadlines and details.
About the Role:
This role is critical to the financial health and day-to-day operations of our company. You will manage accounts payable functions, maintain financial records, support project reporting, and handle essential clerical duties. The ideal candidate is highly detail-oriented, reliable, and thrives in a structured environment with multiple moving parts.
Key Responsibilities:
- Accurately enter vendor bills into QuickBooks Desktop
- Scan, rename, and organize invoices into Dropbox by project
- Update Smartsheet job costing and accounting spreadsheets
- Maintain general ledger entries and track expenses
- Prepare and maintain AP ledgers and weekly AP reports
- Input credit card transactions with accuracy and categorization
- Assist with weekly project update files and reports
- Collaborate with PMs, superintendents, and vendors to resolve billing issues
- Manage and update files for insurance, vehicles, and compliance
- Provide administrative support as needed around the office
What We’re Looking For:
- Minimum 2 years experience in construction accounting or a similar industry
- Proven accuracy in handling financial data and job costing
- Advanced knowledge of QuickBooks Desktop and Microsoft Excel
- Familiarity with Dropbox, Smartsheet, Outlook, and Word
- Ability to stay organized while juggling multiple deadlines and projects
- Strong written and verbal communication skills
- High level of integrity and accountability
- Self-motivated, dependable, and detail-obsessed
Bonus Points For:
- Experience working with a commercial general contractor
- Previous use of Smartsheet for cost tracking or reporting
- Familiarity with project-based accounting workflows
