We specialize in financial services and have executed hundreds of global investor calls, earnings calls, analyst calls, corporate announcements and “town halls” for many of the largest corporations in the world.


ROLE OVERVIEW

As a Conference Event Coordinator at Evercall, you will be responsible for the seamless execution of virtual and events for high-profile clients in capital markets and corporate finance. You will coordinate all aspects of the events, from planning to post-event analysis, ensuring best-in-class service throughout. We are looking for someone with a passion for live events, who thrives in dynamic environments and enjoys bringing together all the elements that create a successful event experience.


Responsibilities

Event Planning and Logistics

  • Book, build, and circulate event details for clients.
  • Conduct dry runs and technical rehearsals with stakeholders.
  • Manage communications with clients and the stakeholder team.
  • Oversee and moderate live virtual events, including audio, video, and hybrid formats.
  • Moderate Q&A sessions and facilitate content sharing (video playback, presentations, etc.).
  • Ensure all aspects of the event run smoothly, including internal and external communications.


Event Production

Audio Events

  • Operate and manage audio-only conferences, making key announcements and introducing speakers.
  • Moderate and facilitate audio Q&A sessions, ensuring smooth transitions between participants.
  • Ensure high-quality audio recording of events, and manage file capture for later replay or distribution.
  • Edit and produce audio replays, ensuring clarity and professional sound quality.


Video Events

  • Set up and manage video conferencing tools, ensuring all visual elements (video playback, presentations, sizzle reels, etc.) run smoothly during the event.
  • Monitor and facilitate video Q&A sessions, moderating participation from attendees.
  • Oversee live video recording to capture the event for replay, ensuring both video and audio components are of the highest quality.
  • Edit and produce video replays, including tasks like trimming, syncing audio, and ensuring professional presentation for on-demand viewing.


Operational Support

  • Collaborate with global Evercall teams in London, USA, Hong Kong, and the Philippines to ensure service excellence.
  • Master our event toolsets, including Zoom Webinar, Teams Webinar, and Webex Webinar, ensuring optimal use during events.
  • Troubleshoot issues with platform vendors as needed.
  • Assist in pre-and-post event data entry and data verification.
  • Support the training and onboarding of new hires.
  • Assist in transcription verification.


REQUIREMENTS

  • Preferred: Two years of professional experience in a fast-paced environment, but recent graduates with strong potential will also be considered.
  • Motivated & Results-Driven: You take ownership, thrive on achieving goals, and contribute to the team’s success.
  • Troubleshooting: Excellent problem-solving skills with the ability to remain calm under pressure and proactively resolve technical issues during live events, ensuring smooth operations.
  • Webinar Platforms: Experience with Zoom Webinar, Webex Webinar, or Teams Webinar is a plus.
  • Live Production: Experience in live production environments is a plus.
  • Passion for Live Events: A strong interest in live events and dynamic, fast-paced settings.
  • Strong Communicator: You articulate ideas clearly and efficiently, and you’re confident in front of a camera.
  • Detail-Oriented: You focus on precision and accuracy in everything you do.
  • Adaptable & Proactive: You excel in a dynamic environment, ready to tackle challenges head-on and find effective solutions.
  • Customer Service-Focused: You go above and beyond for the customer, ensuring satisfaction at every stage.
  • Technical Skills: Proficiency with MS Excel and experience with video / audio editing software a plus.
  • Languages: Bilingual in French or German is a plus.
  • Client Management: Ability to manage high-touch clients in both virtual and live event environments.
  • Adaptability: Coachable, adaptable, and eager to learn and grow with the team.


SCHEDULE

  • 8AM to 5PM BST/GMT, Monday to Friday


COMPENSATION

  • Base Salary: £32,000 - £40,000 yearly
  • Developmental Objectives Based Salary Bump: Up to £2,000
  • End of Year Discretionary Bonus
