Summary

The Conference Coordinator is responsible for managing and supporting all logistics related to conferences, special events, and the summer use of residence halls across the UNE campuses. This role ensures smooth execution of event planning, coordination, and on-site support for both internal and external stakeholders. For more information about our outstanding benefits, please visit: UNE Benefits Overview Responsibilities * Plan, coordinate, and oversee all daily operations and administrative tasks associated with conference and event logistics. * Assist in departmental budget planning, monitor expenditures, process budget documents, manage invoices, and handle purchase orders. * Support the maintenance and periodic updates of the department's webpage in collaboration with the UNE Communications Department, including annual web training. * Manage and maintain content for Conference Services on social media platforms. * Coordinate and implement logistical aspects of conferences and special events, including room scheduling, housing accommodations, food services, facility setups, security, and media. * Oversee designated programs and special events, ensuring they are executed smoothly and professionally. * Track revenue and expenses for assigned programs, ensuring accurate billing and financial reporting. * Serve as the on-site customer service representative and liaison for clients, vendors, and other stakeholders. * Collaborate with campus departments such as Facilities, Media, and ITS to meet the needs of event groups. * Manage the coordination of all services related to event management, ensuring clear communication with university services and external vendors to ensure safety and efficient use of campus facilities. * Provide direction and supervision to student workers assigned to events. * Stay up to date on trends and best practices in conference and event planning. * Commit to actively fostering a culture of welcoming and belonging. * Perform other duties as assigned. Qualifications Associate Degree in Business, Conference/Event Management, Hospitality, or a related field, or a combination of education and relevant experience that demonstrates comparable knowledge and skills. * Strong organizational skills with attention to detail. * Excellent interpersonal skills with the ability to communicate effectively with a wide range of clients, faculty, staff, and external vendors. * Strong written and verbal communication skills. * Ability to work independently and as part of a team. * Proficient in telephone and computer skills; web development and design experience is a plus. * Ability to work flexible hours, including evenings and weekends, especially during peak conference season and as required throughout the year. * Physical ability to stand and walk for extended periods, and to lift, carry, and move event equipment, including tables and chairs, as needed. * Must be able to travel between campuses as necessary.
