Position Overview
Reporting to the Manager, Horticulture Operations and Community Programs, the Community Programs Coordinator is responsible for the development, coordination and delivery of community programs in Parks, Forestry and Horticulture Operations. Coordinates community outreach, volunteer development, event management including event agendas, programs, speaking notes and special presentations. Develop and implement policies, strategies and work plans for community programs including program evaluation and enhancement through surveys and focus groups. Identifies and coordinates sponsorship opportunities in support of departmental initiatives. Lead the promotion of departmental initiatives by developing communications/marketing materials, sponsorship proposals, and presentations. Liaise with internal and external stakeholders including leading working groups and committees.
Ensures divisional and corporate service standards as well as health and safety procedures are followed and maintained in compliance with the Occupational Health and Safety Regulations, AODA, and Employment Standards Act and related legislation.

Responsibilities
Effective Program Coordination
• Coordinates, develops and implements community programs including program administration, community outreach, volunteer management, event planning and execution.
• Liaises with staff, senior management, elected officials, residents, the business community, community organizations and external agencies to provide, obtain or exchange information as necessary.
• Establishes rapport and effective partnerships with other departments to facilitate planning, coordination and implementation of identified projects, community events and acts as a liaison between all stakeholders.
• Identifies and develops continuous improvement opportunities to enhance program delivery and customer service.
• Works in collaboration with Economic Development to solicit corporate sponsorship and donations as required, including coordinating sponsorship contracts, agreements, and recognition for sponsors (incentives, certificates, signage).
• Supports the development of communication and marketing materials including news release, media advisories, social media plans, brochures, and web content.
Research and Reporting
• Assists with staff reports, briefs, presentations and correspondence for the consideration of the Director and Senior Management Team on assigned matters.
• Leads aspects of tracking and reporting performance measures and quantitative indicators related to the implementation of community programs and departmental initiatives. This includes statistics, data and media impressions relating to events and prepares post-event reports.
• Researches and monitors local, provincial, national and global environmental sustainability initiatives and provides recommendation to the Manager, Horticulture Operations and Community Programs.
Interactions with Others
• Leads the development and implementation of communication and marketing strategy in support of community programs and departmental initiatives.
• Provides guidance to program participants by building awareness and increase participation in community programs which contribute to a healthy environment, vibrant communities and economic vitality.
• Establishes and maintains partnership with residents, community organizations, external agencies in support of departmental initiatives.
• Manages external and internal requests including resident inquiries and maintains stakeholder information in support of the City mission of “Citizens first through service excellence”.
• Establishes and organizes project teams, working committees and meetings within the scope of assigned projects, as required.
People Leadership
• Empowers local environmental champions through ongoing coaching and training of volunteers and staff responsible for leading workshops, supporting community events and assisting with community programs.
• Exercises sound judgement and provide guidance to resolve matters which may be political and sensitive in nature.
• Manages the overall volunteer administration including recruitment, screening, on-boarding and retention of volunteers.
Qualifications and Experience
• Four (4) year degree in Urban or Environmental Sustainability, Public Administration, Public Relations or suitable equivalent degree or equivalent experience.
• Minimum of four (4) years' related experience in program coordination, sustainability management, community engagement preferably in a municipal or government environment.
• A high-energy team player capable of multi-tasking and coordinating several significant departmental initiatives successfully.
• Proven ability to work independently on a wide range of duties and job functions.
• Effective time management, organizational and interpersonal skills with ability to set priorities and meet required deadlines with conflicting demands and changing priorities coupled with problem solving and analytical skills.
• Ability to think and act strategically with great political acuity.
• Demonstrated leadership, supervisory, interpersonal, staff development skills; multi-tasking, demonstrated program coordination and budget management skills.
• Demonstrated experience in organizing committees, events, including preparation of agendas, documentation of minutes with attention to detail and accuracy.
• Effective communication skills both oral and written including drafting correspondence, marketing materials, reports, presentations, and speaking notes.
• Demonstrated ability to research, synthesize and present information, contributing to work plans, divisional strategies and reports to Council.
• Knowledge of Microsoft Office Applications (including but not limited to: Word, Excel, Power Point, Project).
• Possesses a valid Ontario “G” Driver’s License, in good standing, with access to a reliable vehicle for corporate use.
• Knowledge of and demonstrated ability in the City’s core competencies and relevant functional competencies.
