Position Overview

We are looking for a proactive and detail-oriented Operations Assistant Intern to support our Care & Growth team across a range of administrative, operational, and project-based activities. This role is ideal for an entry-level candidate seeking hands-on experience in business operations, sales support, customer relationship management, and project management within a mission-driven healthcare environment.

Key Responsibilities

General Administrative Support

  • Facilitate supply requests and act as a liaison with the supply chain team to ensure timely fulfillment
  • Maintain process documentation and update stakeholders
  • Support internal communications by coordinating updates with relevant stakeholders
  • Prepare and distribute client handouts and marketing materials
  • Handle additional administrative tasks as required

CRM & Data Entry

  • Maintain and update client records, leads, and deal progress in Zoho CRM
  • Assist in tracking and organizing customer interactions to ensure smooth client onboarding
  • Ensure data accuracy and update workflows in CRM based on the BD team's needs
  • Conduct market research on potential leads and business opportunities

Document & Agreement Support

  • Assist with organizing and maintaining signed agreements and tracking their status in shared folders or simple tracking tools
  • Support BD Managers and Account Managers by preparing documents for e-signature using platforms like DocuSign
  • Help ensure that agreement templates are correctly named, formatted, and up-to-date before being shared externally
  • Monitor incoming signed agreements and alert the team to follow-up actions when needed

Project Coordination

  • Support the planning and execution of internal projects, national events, and local initiatives in collaboration with various teams
  • Manage logistics, including coordinating timelines, tracking deliverables, confirming participants, and arranging shipments or materials
  • Assist with budgeting, vendor communication, and expense tracking for assigned projects and events
  • Help organize conference booth design, setup, and onsite logistics as part of event-related projects

Qualifications

  • Bachelor’s degree in Business Administration, Marketing, Communications, or a related field (or equivalent experience) is REQUIRED
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Ability to follow established processes, guidelines, and instructions with accuracy
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace
  • Experience with CRM systems (e.g., Zoho CRM) is a plus
  • Ability to multitask and work independently in a fast-paced environment
  • Interest in healthcare, technology, or business development is a bonus
  • Must be able to lift 50 pounds or more for event setup and logistics support
