About Us:

SHIFT Wellness is a thriving multidisciplinary wellness clinic offering holistic health services, including physiotherapy, naturopathy, acupuncture, and massage therapy. We are dedicated to providing exceptional patient care and a collaborative environment for our practitioners.

We are looking for an organized, proactive, and personable Clinic Coordinator & Administrative Assistant to join our team. This role is ideal for someone who enjoys managing operations, coordinating with practitioners, and ensuring a seamless client experience. The right candidate will have the opportunity to grow into a managerial position within our clinic.

This position is IN-PERSON ONLY. I am no seeking a virtual assistant.

Key Responsibilities:

  • Front Desk Management: Greet clients, manage appointments, answer inquiries, and process payments.

  • Client Relations: Ensure a warm, welcoming environment and handle client concerns professionally.

  • Administrative Support: Maintain patient records, assist with insurance claims, and oversee clinic supplies.

  • Team Coordination: Support scheduling and communication between practitioners, ensuring smooth daily operations.

  • Clinic Flow: Assist with general clinic flow, including but not limited to, linens management, supplies management, general clinic tidiness

  • Growth into Management: Take on increased responsibilities in leadership, staff coordination, and graphic design & marketing.


Qualifications & Skills:

  • Experience in customer service, administration, or a similar role (clinic or wellness experience preferred).

  • Strong organizational skills and the ability to multitask in a fast-paced environment.

  • Excellent interpersonal and communication skills.

  • Proficiency in office software (e.g. Google Suite, JaneApp) and familiarity with clinic management systems.

  • Ability to take initiative and adapt to evolving responsibilities.
