The Client Intake & Office Manager serves as the first point of contact for prospective clients and ensures smooth day-to-day operations of the firm. This hybrid role blends client-facing intake coordination with key behind-the-scenes administrative functions, including office systems, vendor management, scheduling, and internal support. ● Serve as the initial point of contact for potential clients—screen, gather intake information, and schedule consultations.
● Maintain and update client information within the firm’s case management system.
● Coordinate with attorneys and paralegals to ensure smooth onboarding of new clients.
● Communicate with clients in a prompt, courteous, and professional manner.
● Track case progress and support follow-up to ensure intake-to-case transition is seamless.
● Coordinate with IT providers to maintain technology functionality and security.
● Order and manage office supply inventory and equipment.
● Oversee vendor contracts, renewals, and service quality.
● Serve as liaison with building/property management for maintenance and access issues.
● Maintain the firm-wide calendar—schedule internal/external meetings, reserve rooms, and assist with client appointments.
● Plan and support internal events, team meetings, and office engagement initiatives.
● Support with HR administrative tasks.
● Client Intake Responsiveness: All inquiries acknowledged within 1 business day.
● Calendar Accuracy: 99%+ accuracy on internal and external scheduling.
● Document & Data Entry Accuracy: 99%+ accuracy in all intake forms and system updates.
● Vendor Oversight: All contracts current; no service disruptions.
● Excellent interpersonal and communication skills—verbal and written.
● Strong attention to detail, time management, and multitasking ability.
● Proficiency with Microsoft Office, Google Workspace, and shared calendars.
● Comfortable with client-facing responsibilities and professional correspondence.
● Highly organized and proactive in solving problems.
● Experience in a law firm, especially in intake or client services.
● Familiarity with legal terminology, case management systems, and basic court processes.
● Experience coordinating vendors, IT systems, or property/facility needs.
● Bilingual (Spanish or other languages) is a plus.
● 2–4 years in a professional office setting.
● Experience in client intake, administrative coordination, or office management is highly valued.

Entry-Level (2–3 years)
$50,000 – $55,000
Mid-Level (3–5 years, legal experience)
$55,000 – $65,000
