Description of Position
This position oversees day-to-day supply chain activity at the University’s Academic Health Center (AHC) via the “KE Dock” and the Biomedical Discovery District (BDD) via the “BDD Dock”, including staff scheduling and supervision, delivery services, shipping and receiving, customer service, processing returns, and maintaining the dock, equipment and other related work areas. This position oversees the Mayo Mail Room operations and performs special project work related to Central Logistics initiatives. This position interviews, hires and completes performance evaluations on a regular basis. This position serves as a U Market Services (UMS) representative on AHC and BDD committees, collaborating on strategic and operational initiatives and providing supply chain expertise to support the mission of the University of Minnesota.
Responsibilities
Responsibilities for this appointment include the following:
30% Logistics: The Supervisor is responsible for:
- Supervising the movement of materials through the BDD Dock to and from the building occupants
- Providing oversight of the KE Dock, including deliveries, receiving, movement of materials and operations, including backing up staff and routes when needed
- Coordination of services with external vendors
25% Customer Service: This position will be responsible for:
- Functioning effectively as a liaison between AHC customers and suppliers to facilitate transactions, returns and logistical issues. Providing exceptional customer service to external and internal vendors and customers with a commitment to excellence. The employee in this position will have responsibility to the AHC and BDD to meet their high expectations for service and quality of work. This includes but is not limited to, providing/coordinating service coverage during the times and days that the customer deems necessary
- Responding to specific requests for information on goods and services offered through U Market and U Market Services, and coordination of those services
- Participating in essential meetings, conferences or other interactive activities with customer contacts and as requested by leadership
- Troubleshooting customer complaints and providing resolutions in a timely and cost effective manner
10% Mayo Mail Room: This position is responsible for supervising the day-to-day business activity at the Mayo mail room, including staff scheduling, mail sorting and processing, customer service requests, and organizing and improving mail room processes. This position interviews, hires, and evaluates all Mayo Mail Room employees.
10% Shipping & Receiving: The Supervisor will be responsible for receiving and processing all incoming materials and the shipping of outgoing packages. These tasks include the use of FEDEX shipping software.
10 % Supervisory Duties: Responsible for directing/assigning duties to Stores Specialists and Delivery Service Drivers. This position will also be cross-trained to fill in for their peer Operation Supervisors.
10% Process Improvement & Central Logistics Special Projects: The Supervisor will utilize Six Sigma to assist in process improvement and with the planning and implementation of Central Logistics and materials management projects as needed.
5% Academic Health Center & Biomedical District Dock Maintenance: This position takes responsibility for the organization of the KE and BDD Docks, as well as the general condition of the facilities, including communicating any mechanical, custodial, or service issues.
Essential Functions Of The Position
Knowledge of supply chain resources to support critical research and teaching for the Biomedical Discovery District, the Academic Health Center, and the University of Minnesota.
Knowledge of maintaining a safe, positive, and productive work environment for all customers and U Market Services staff.
Provides leadership to employees with a goal of optimizing productivity, while responding quickly and decisively to customer inquiries, reflecting the highest level of dedication to service and integrity. Works well with all customers, employees, management, and faculty in every area of responsibility. Ensures that all services are delivered in a timely, accurate, cost-conscious and friendly manner
Ability to coordinate supply chain maintenance and security issues for the AHC, BDD, and the Mayo Mail Room physical facilities.
Work Environment
Work areas vary. Although most work is done in an office and dock setting, occasional supervision of distribution employees may require being on campus in various customer locations, in delivery vehicles, at customer locations, and in various areas of the building at U Market Services

Minimum Qualifications________________________________________________________
BA/BS and four years of experience in distribution or a combination of related education and work experience to equal at least eight years. Documented supervisory experience involving multiple staff in a high volume, fast paced service environment. Experience working with bargaining unit employees, and a proven ability to work collaboratively to meet strategic goals within the parameters of the bargaining unit contract. Must have a valid Minnesota driver’s license
Knowledge, Skills And Abilities
Knowledge: Knowledge of inventory management, material management and distribution concepts required.
Preferred Knowledge: Knowledge of inventory management, logistics and package tracking technology and software. Knowledge of process improvement methodologies.
Skills: Moderate proficiency with Microsoft Office products including Excel and Word, and Google Drive. Ability to work well with all types of people, at all levels of the organization’s hierarchy is an absolute requirement. Must be able to communicate effectively and positively. Six Sigma experience is a plus.
Abilities: Must be able to communicate well both verbally and in writing. Ability to plan and carry out both daily schedules, and long term plans. Ability to balance multiple tasks effectively and coordinate issues in a fast paced, high stress environment, while maintaining a controlled and effective disposition. Ability to identify the need and implement solutions for process improvement.
Pay Range: $27.89- 29.80; depending on education/qualifications/experience
Time Appointment Category: 75%-100% Appointment (If job description above does not specify appointment or expected weekly hours, assume a 100% appointment.)
