COMPENSATION: $74,680.58/year + DOE + Benefits, Non-Exempt Position

Summary Of Position

The Bookstore Coordinator is responsible for the efficient daily operation of the College Bookstore, which includes purchasing supplies, coordinating textbook orders, maintaining inventory, and assisting students and staff in accessing required materials. This position ensures the smooth running of the bookstore, manages inventory and sales, and collaborates with other departments to support the College’s operational needs.

Essential Duties And Responsibilities

  • Coordinates all textbook orders each semester, including procurement, processing, tracking paperwork, and ensuring timely delivery to instructors and students.
  • Assists students in obtaining textbooks, working closely with the Registrar’s Office, Financial Aid, Business Office, faculty, Village Liaisons, and Expediters.
  • Purchases all bookstore supplies and maintains up-to-date and accurate bookstore inventory and sales records.
  • Manages student online accounts to reflect book purchases and ensures timely, accurate data entry.
  • Communicate regularly with online and distance students, ensuring prompt mailing of textbooks.
  • Reconcile bookstore sales, utilizing tracking software to manage inventory and generate sales and financial reports.
  • Oversee the annual fiscal year-end bookstore inventory.
  • Manages and ensures consignment inventory and sales are properly tracked.
  • Processes interdepartmental requests for books and Iḷisaġvik-logo items for events, giveaways, and internal use.
  • Works closely with the Marketing Division to ensure bookstore branding is consistent with College standards and to gather feedback on Iḷisaġvik-logo merchandise needs.
  • Provides administrative support to the Dean of Administration’s Office, including filing, handling correspondence, answering phones, maintaining office supplies, and managing departmental records.
  • Supports the Institutional Advancement Division by maintaining donor files, acknowledgment letters, receipts, and tracking them in both paper and electronic formats.
  • Processes monthly credit card reconciliations, personnel requisitions, and personnel action forms.
  • Cross trains with the Travel Coordinator and Executive Assistant to the Dean to provide coverage as needed.
  • Attend departmental meetings and prepare meeting minutes or reports as required.
  • Supports special projects, including event planning and coordination.
  • Complies with all College policies and procedures, as well as applicable federal, state, and local laws and regulations.
  • Performs other related duties as assigned.

  • Proficiency in word processing, spreadsheets, databases, and internet research.
  • Strong organizational skills with the ability to manage multiple projects and adapt to changing priorities and deadlines.
  • Ability to work independently with minimal supervision.
  • Excellent written, oral, and interpersonal communication skills.
  • Demonstrated ability to interact effectively in a multicultural environment.
  • Ability to pass a pre-employment background check.
  • Demonstrated knowledge in one or more of the following areas: post-secondary educational systems, North Slope Borough [NSB] institutions and organizations; Iñupiat culture, language, values, and traditions.
  • Ability to interpret and represent North Slope community values, customs, and beliefs for the College.
  • Ability to interpret and represent College actions and western institutions to the North Slope community.
  • Ability to support Iḷisaġvik College’s mission.

EDUCATION/CERTIFICATES/TRAINING [Required]:

  • Associate of Arts degree.
  • Minimum of three (3) years of administrative office experience.

EDUCATION/CERTIFICATES/TRAINING [Preferred]:

  • Bachelor’s degree in business, management, office technology, administration, or a related field.
  • Five (5) years of administrative experience.
  • Valid driver’s license.
