The Billing & Collections Manager leads the billing and collections processes for assigned partners/client teams and supports the Director of Client Accounting with assigned billing and collections functions including ensuring adherence to firm and client policies. Collaborating with the Director, the Manager provides superior internal and external client service offering support and backup to team members as needed to meet department service standards and goals. The Manager works closely with the Director to ensure work is balanced, properly allocated and completed timely and accurately.
Responsible for the management of a team of Billing & Collections Coordinators and their day-to-day activities and assignments.
Review and mastering of financial terms of outside client guidelines and ensuring an effective processing environment that supports firm policies and client guidelines.
Offers guidance to partners and client teams on opportunities to negotiate guidelines in alignment with best practices.
Provides management of billing engagements invoiced in coordination with client insurance coverage to insure compliance with billing requirements; provides insights on how to improve billing and collection of insurance covered work.
Develops relationships with client teams to assure quality billing & collection customer service; supports timely bill processing and resolution of billing discrepancies.
Works with accounting and client teams to ensure proper intake and set-up of new matters and maintenance of existing matters leading to efficient and effective billing and collections.
Assesses financial systems (workflow and technical) are functioning across the firm in alignment with billing terms of engagement; recommend process and technical utilization improvements as needed.
Collaborates with client teams and Billing & Collection Coordinators to timely develop and report client accruals and other required information.
Assures client teams and Billing & Collection Coordinators develop and deploy efficient and effective client reporting; assists and in the creation, maintenance, monitoring and analysis of client budgets and alternative fee arrangements.
Responsible for client account analysis, testing, data validation and related contributions to the implementation of any new financial systems.
Supports month-end and other periodic analysis and reporting.
Works closely with accounting leadership to ensure there is timely and appropriate escalation of billing and collections concerns.
Other tasks and responsibilities as needed.
Directly supervises employees in the Accounting/Finance department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
