We are looking for a reliable and detail-oriented individual to support our General Manager with a wide range of administrative and travel-related tasks. This role requires strong organizational skills, professional communication, and the flexibility to travel for business purposes.
Responsibilities:
Answer and direct phone calls to the appropriate individuals or departments
Manage incoming and outgoing mail, packages, and deliveries
Schedule appointments and maintain calendars
Assist with administrative tasks, including:
Scheduling meetings and managing correspondence
Coordinating travel arrangements
Data entry, filing, and document organization
Transcribe meeting minutes and draft documents as needed
Perform general office duties such as photocopying, scanning, and faxing
Support and accompany the General Manager on business trips as required
Assist with selected sales-related tasks, such as client communication, quote follow-up, and maintaining customer records — please note this is not a sales role, but may involve occasional sales support
Qualifications:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Strong organizational skills with the ability to multitask and prioritize effectively
Excellent verbal and written communication skills
High attention to detail and accuracy
Ability to maintain confidentiality of sensitive information
Knowledge of QuickBooks or similar accounting software is a plus
Professional phone etiquette and the ability to handle calls efficiently and courteously
