Job Title: Auxiliary Programs & Operations Coordinator

Department: Administration

Reports To: Head of School, in conjunction with Program & Facilities

Employee Classification: Full-Time, Non-Exempt

Salary Range: $22.00-$27.00 per hour DOE

Daily Schedule: Monday-Friday, 8:30am-5:15pm (with a 45 minute break)

Job Summary

The Auxiliary Programs & Operations Coordinator at the Montessori Academy of Colorado plays a key role in the design, coordination, and management of auxiliary programming while supporting essential daily operations that contribute to a smooth, safe, and engaging school environment. This 12-month, full-time administrative position oversees the planning and execution of internal and external after-school enrichments, summer camp partnerships, and day-to-day operational logistics, including student transportation, going-outs (field trips), and basic technology support. The Coordinator ensures that all programming aligns with MAC’s mission and licensing standards, while also supporting a high-quality experience for students and families. Job Duties And Responsibilities

Auxiliary Programs & Enrichment Coordination

  • Lead the development and implementation of MAC’s internal after-school enrichment and club programming in collaboration with faculty and administrative team members
  • Recruit and coordinate external enrichment and club vendors to enhance the Upper School after-school programming throughout the year
  • Schedule, coordinate, and staff enrichment activities for Primary and Toddler communities
  • Manage and act as the primary liaison for lower-school after-school coordinators and check in daily with after-school staff
  • Serve as the primary liaison to Ivy Camps, managing ongoing coordination for their year-round enrichment offerings, including scheduling, space usage, and compliance with MAC policies
  • Oversee all communication, logistics, and facility use for auxiliary programming, ensuring alignment with school mission and licensing requirements
  • Collaborate with the Director of Communications to develop and distribute enrichment information, promotional materials, and family communications
  • Maintain accurate registration and attendance records for all after-school programs and internal enrichments
  • Coordinate after-care for school events

Summer Camp Management

  • Act as the key point of contact and on-site coordinator for Steve & Kate’s Camp, supporting integration with MAC’s systems and routines, coordinating scheduling and facility use, and ensuring compliance with all MAC policies and licensing requirements
  • Ensure all summer camp operations run smoothly in partnership with Steve & Kate’s team, MAC administrative staff, and the Facilities Department
  • Support the integration of MAC-specific programming, if applicable, and ensure that all campers and families have positive, mission-aligned experiences

Operations & Daily School Support

  • Coordinate logistics for school go-outs (field trips), including transportation scheduling, permission tracking, and communication with faculty and families
  • Collect and track driver documentation for volunteers for going-outs and class trips (licenses, insurance, registration, background checks, etc)
  • Ensure compliance with all transportation safety regulations
  • Provide day-of operational support as needed to ensure the seamless execution of enrichment programs, off-campus activities, and other school events
  • Serve as a responsive contact for internal operations, addressing immediate needs related to facilities, scheduling, or programming logistics
  • Hold monthly check-in meetings with housekeeping staff
  • Manage a calendar of building events and reserved spaces needed
  • Oversee school health services in conjunction with the school nurse consultant

Technology & Equipment Support

  • Manage shared technology resources used in auxiliary programs and school events (e.g., tablets, projectors, audio/visual equipment)
  • Provide basic troubleshooting for equipment and coordinate with external IT support when needed
  • Ensure auxiliary instructors and program partners have access to the tools and equipment necessary to deliver high-quality programming

Compliance, Safety, & Risk Management

  • Collaborate with Program Directors and vendors to maintain compliance with licensing requirements for all auxiliary programs, including accurate documentation and preparation for inspections
  • Support the development and implementation of risk management plans for off-campus activities and vendor programming
  • Assist the Facilities team with the maintenance schedule, insurance, and registration of school-owned vehicles
  • Partner with the Facilities team to ensure enrichment and camp spaces are safe, clean, and adequately equipped
  • Maintain accurate records related to student health, safety procedures, and staff/vendor background clearances as required by local and state regulations
  • Any other duties outside of this description that may be assigned as necessary by the Head of School

Qualifications

  • Bachelor’s degree or equivalent experience in education, event coordination, program management, or related field
  • Minimum 2–3 years of experience in program development or operational coordination, preferably in a school
  • Strong organizational, communication, and interpersonal skills, with a demonstrated ability to manage multiple projects and deadlines effectively
  • Proven experience collaborating with external vendors and program providers
  • Proficiency in standard office software (Google Workspace, Microsoft Office) and comfort with learning new digital platforms
  • Ability to lift and move up to 40 lbs., and willingness to obtain appropriate licensure to drive the school van if not already held
  • Ability to respond calmly and quickly to changing circumstances and emergencies
  • Clear communicator, confident in interacting with a wide range of stakeholders, including vendors, staff, and licensing officials
