Summary

Position Purpose

The Athletics Program Assistant administers athletic programs for the Town Parks, Recreation and Tourism (PRT) Department by assisting with clerical duties, providing quality customer service, and administering organized athletic leagues, clinics, camps, special events, and programs while supervising the use of athletic fields and facilities. This non-exempt, part-time position requires working on weekdays, nights, and weekends, with a maximum of 999 hours worked per year.

Duties and Responsibilities

These duties and responsibilities are not intended to be all-inclusive. The employee may perform other related duties as negotiated to meet the Town's ongoing needs.

  • Works a non-traditional work schedule, primarily working nights and weekends with limited supervision.
  • Performs activities at athletic events, including but not limited to planning, set-up, directing, teaching, assisting, refereeing, scorekeeping, clean-up, maintenance, concessions, and supervising volunteers, game officials, participants, and spectators.
  • Prepares and oversees the use of athletic fields, gymnasiums, parking lots, and other PRT facilities, including marking, mowing, and weed-eating.
  • Monitors athletic equipment use and return, reporting damage and losses to the Athletic Supervisor.
  • Maintains trees, shrubs, and flower beds by planting, pruning, trimming, and removing weeds around athletic fields, municipal parks, parking lots, and the Community Center.
  • Ensures the safety of all participants, spectators, and game officials. Treats minor first-aid incidents, completes accident reports, and provides a copy to the Athletics Supervisor.
  • Assists with the organization of playoffs and tournaments for various athletic leagues.
  • Performs any assigned tasks associated with Town-sponsored athletic programs.
  • Provides assistance across all divisions of the PRT department as required.
  • Greets participants and enforces facility regulations and policies.
  • Performs basic administrative tasks such as utilizing a computer to complete projects, typing, copying, and faxing materials as assigned, and responding to inquiries in person, over the phone, or via email.
  • Assists with maintaining records of athletic program volunteer hours and sends reports to the Athletics Supervisor.
  • Assists in training athletic volunteers.
  • Assists with soliciting private contributions for Town athletic programs.
  • Assists with tracking athletic program expenses and provides reports to the Athletics Supervisor.
  • Maintains a clean work environment at all times.
  • Performs other duties of a similar nature or level.

Qualifications

Qualifications & KSA's

Education and Experience

High School Diploma or General Equivalency Diploma (GED), a background in or understanding of youth and/or adult team athletics, and experience coaching and officiating sports; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job, such as those listed above, is required.

Licenses and Professional Certifications

  • Valid Driver's License (NC preferred)
  • Bloodborne Pathogens (BBP) and Cardiopulmonary Resuscitation (CPR)/Automated External Defibrillator (AED) Certifications (within three (3) months of employment)
  • NC Commercial Driver’s License – Passenger Endorsement (preferred)

Knowledge, Skills, and Abilities

Knowledge of recreational athletics and leagues; standard safety practices; procedures and equipment related to recreational athletics and leagues; and rules governing common athletics and leagues.

Skilled in assisting with planning, organizing, leading, and monitoring the activities of others; preparing and distributing publicity concerning new and ongoing recreation programs and activities; completing required training programs and obtaining required certificates; meeting the physical demands of the job; understanding and carrying out oral and written instructions; using a computer and related software applications; and communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction.

Ability to represent the Town professionally and respectfully while interacting with diverse individuals within the workplace and the community.

Working Conditions & Physical Requirements

Working Conditions

Employee is subject to both indoor and outdoor environmental conditions. When indoors, the employee will be exposed to the lighting, temperature, and noise of an open-floor-plan gymnasium environment and that of an office setting. Employee may be frequently exposed to insects, dirt, grass, and weather elements, including rain, wind, varying temperatures, etc.

Physical Requirements

Employee must be able to set up and break down equipment, record score sheets, and operate timing devices. A portion of work is performed within an office or indoor environment and frequently includes the operation of a computer. Other portions of work will be performed outdoors utilizing lawn equipment and other items needed for ground maintenance and program needs. The employee must read, write, and interact with others in person, over the phone, and via other devices. The employee may move within the facility to access file cabinets, documents, office machinery, and other equipment. Travel is often required to outside sites to perform the duties described above and attend meetings, trainings, events, and other business activities. Employees in this position frequently lift, carry, push, and/or pull objects weighing up to 25 lbs. They also occasionally move objects weighing up to 50 lbs. sometimes, but rarely, up to 100 lbs. Additionally, work may require standing, walking, running, reaching, bending, twisting, stooping, crouching, kneeling, crawling, lifting, carrying, and/or moving equipment, or pushing and pulling various objects.
